A leading company in Penang is seeking an Administrative Support specialist to provide clerical assistance to the Design and Engineering Department. The role includes organizing events, managing procurement processes, and handling various administrative tasks. Provide administrative and clerical support to the Design and Engineering Department's administration area.
Assist with dedicated events operations and internal events for employees and visitors.
Manage the booking of meeting rooms and conference facilities as required.
Coordinate with travel agencies to book travel and accommodations for department employees' business trips.
Order and maintain stationery, equipment supplies, and project supplies. Monitor stock levels and manage inventory.
Compile and consolidate approved expense reports, ensuring copies of receipts are available for all expenses. Manage scanning and record-keeping of expense documents.
Assist with various office duties and ad-hoc tasks as needed.
Perform other responsibilities as assigned by superiors or the company.
Ariba Procurement Administrative: Raise Purchase Requisitions (PR) and Purchase Orders (PO), issue requisitions, and manage procurement processes.
Handle shipment documentation, coordinate logistics, analyze data, and resolve issues to maintain operational efficiency.
Operate, clean, and recommend maintenance for all office equipment such as copiers, printers, and computers.
Maintain supplies for meeting rooms, including whiteboard erasers, markers, and refills.
Support workplace services by logging facilities management requests, filing work orders, and following up with concerned teams.
Coordinate with vendor helpdesk for facilities, amenities, and building-related services and issues.
Manage daily operations of projects and facilitate communication among vendors, team members, and users.
Assist with onboarding new hires, including PC procurement and IT system setup.
Support PC refresh activities as needed.
Participate in organizing, coordinating, and supporting internal and external company events, ensuring timely submission and closure of reports and action items.
