Key Accountabilities, Responsibilities and Duties:

  • Understanding and operate YARDI & Jomsoft systems.
  • Understanding and operate clocking/patrolling system & Servedeck.
  • Handling management work such as E-PR, filing, documentation, etc.
  • Creating work orders via E-PR or manual bypass work order as required.
  • Generating scheduled preventive maintenance and submitting to superiors for assignment.
  • Reviewing and revising stock holdings based on system data against actual stock.
  • Receiving, acknowledging, and archiving/filing quotations via fax, email, or hand.
  • Generating staff overtime records for Group People & Culture and management.
  • Delivering letters, bills, and invoices to relevant parties, e.g., tenants.
  • Scheduling daily, weekly, monthly, or yearly checklists in coordination with other parties, technicians, contractors, and tenants.
  • Monthly generation of staff attendance reports using FingerTec system.
  • Generating and filing clocking/patrolling reports and furnishing upon request.
  • Following up on PR submissions to Procurement.
  • Ensuring monthly roster submissions to management are on time.

Job Competence Profile:

  • Minimum diploma holder in Business Management or related discipline.
  • At least 1-2 years of experience in administrative or office management.
  • Familiar with YARDI, Servedeck systems, and Microsoft Office (Outlook, Word, Excel).
  • Possess own transport and willing to work in Putrajaya.
  • Excellent written and oral communication skills.
  • Customer service oriented with good personal skills.
  • Strong organizational, multitasking, and time management skills.
