Maintain and update company records, correspondence, and filing systems (physical and digital).

Coordinate with departments for general office maintenance, utilities, and supplies.

Manage and support company vehicle scheduling, servicing, and insurance renewals.

Coordinate and Planning for the Company Event and Activities.

Job Responsibilities:

Administrative Management:

Oversee and coordinate day-to-day administrative operations across HQ and sites.

Maintain and update company records, correspondence, and filing systems (physical and digital).

Coordinate with departments for general office maintenance, utilities, and supplies.

Manage and support company vehicle scheduling, servicing, and insurance renewals.

Coordinate and Planning for the Company Event and Activities.

Asset Management:

Maintain a comprehensive asset registerfor HQ and project sites, including machinery, office equipment, tools, and furniture.

Assist in tracking asset movement, usage, and location, especially for mobile or site-based items.

Ensure proper labeling, tagging, and documentationfor all company-owned assets.

Coordinate asset maintenance schedules, servicing records, and repairs with vendors.

Assist in planning for asset procurement, write-off, disposal, or transferin compliance with company policies.

Conduct or support physical asset auditsand reconciliations with records.

Compliance & Documentation:

Ensure administrative processes comply with company policies and procedures.

Maintain licenses, permits, and renewal documentation related to facilities and assets.

Assist in preparing reports, summaries, or minutes as required by management.

Ensure proper document archiving and access controls.

Support & Coordination:

Liaise with vendors, contractors, and service providers for office and asset-related services.

Support project teams with admin needs including temporary site setups, transport arrangements, and logistics.

Assist in handling insurance claims, asset damages, and admin-related emergencies.

Provide general admin support during internal and external audits.

Job Requirements:

  • Diploma or Degree in Business Administration, Management, or a related field.

  • 3–5 years of experience in administration, preferably within the construction industry.

  • Good understanding of asset management practices, procurement procedures, and office operations.

  • Proficient in Microsoft Office (Word, Excel; knowledge of asset tracking software is an advantage.

  • Strong organizational, communication, and problem-solving skills.

  • High attention to detail and integrity in record-keeping.

  • Required language(s): English, Mandarin to liaise with china counterpart
