Position Summary
To provide comprehensive administrative, sales reporting, and operational support to the Commercial Head of Vinda Malaysia, while also contributing to trade marketing activities, marketing claims processes, and customer engagement through event participation and fairs.
You will play an important role to:
1. Executive & Administrative Support
- Manage calendar, appointments, travel, and meeting arrangements for the Commercial Head.
- Prepare presentation slides, meeting notes, and follow-up actions as required.
- Assist in internal communications and coordination across Sales, Marketing, and Trade functions.
2. Sales Reporting & Analysis
- Generate, compile, and analyze sales performance data, sales trackers, and monthly dashboards.
- Coordinate closely with the Sales & Marketing teams to consolidate regional reports for management review.
- Provide ad-hoc reports to support business decision-making and reviews.
3. Marketing & Trade Claims
- Support end-to-end preparation and submission of marketing claims, rebates, and promotional documentation.
- Liaise with Finance and Trade Marketing teams to ensure claims are submitted accurately and on time.
- Track claims status and flag delays or discrepancies for resolution.
4. Event Coordination & Fair Participation
- Assist in planning and execution of customer events, brand launches, product activations, and sales fairs.
- Represent the company at consumer fairs and roadshows to actively promote products and close sales.
- Manage event logistics including setup, stock requisition, and on-ground operations support.
5. Cross-Functional Collaboration & Special Projects
- Support the Commercial Head in coordinating special marketing or trade initiatives.
- Participate in brainstorming sessions for marketing campaigns or sales programs.
- Conduct basic market research and competitor checks to support trade marketing activities.
To be successful in this role, you will need to have:
- Diploma/Degree in Business Administration, Marketing, or related field.
- 1–3 years’ experience in admin, sales coordination, or marketing support roles.
- Strong interest in marketing, trade marketing, and sales; willingness to learn and grow in a dynamic FMCG environment.
- Excellent Microsoft Excel and PowerPoint skills; ability to prepare reports and presentations.
- Organized, proactive, and able to multitask across administrative and commercial functions.
- Willingness to travel for events and fairs, including occasional weekend work when required.
