A leading company seeks an Admin Executive for the Group Corporate Services Unit, responsible for maintaining legal documents and providing administrative support. The ideal candidate will have a degree in Business Administration, along with 1-3 years of related experience, and possess strong organizational and communication skills. Proficiency in Mandarin is preferred for effective client communication.
Maintain and organize legal documents, contracts, and agreements.
Assist in filing, indexing, and retrieving corporate records and statutory documents.
Ensure proper upkeep of Board and Committee resolutions and minutes.
Provide general administrative support to the Legal and Company Secretarial Unit.
Schedule meetings, prepare agendas, take minutes, and ensure timely distribution of documents.
Handle correspondence and emails related to legal and secretarial matters.
Assist in monitoring compliance with statutory and regulatory requirements.
Support the preparation and submission of statutory filings with SSM and other regulatory bodies.
Help maintain statutory registers and ensure accuracy of corporate information.
Support the tracking and renewal of contracts and licenses.
Liaise with internal departments for contract execution and follow-up.
Coordinate signing of documents and notarization or stamping as required.
Assist in ad-hoc tasks and projects as assigned by the Head of Group Corporate Services.
Minimum Degree in Business Administration, Corporate Administration, or related field.
1–3 years of working experience in administrative support, preferably in a legal, corporate secretarial, or compliance environment.
Good understanding of basic corporate secretarial and legal administrative processes.
Strong organizational skills with attention to detail and accuracy.
Able to handle confidential information with integrity and discretion.
Good communication skills (both written and verbal) in English, Bahasa Malaysia, and Mandarin.
Proficiency in Mandarin is preferred to communicate effectively with Mandarin-speaking clients.
