Responsible for organizing all administrative activities that facilitate the smooth running of an office, controlling correspondence, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions.
Responsible for office housekeeping, maintenance, pest control, and relevant supplier/contact management.
Upkeep of office equipment and furniture.
Achieve cost saving and efficiency by cutting down unproductive resources.
Monitor and manage the operations of various functions under office administration.
Monitor and execute procurement of office items (including stationery) in the best interest of the organization.
Responsible for the entire group of companies’ office filing.
Ensure office filing is maintained, including Accounts, Sales & Marketing, Own Biz, Project, Operation, etc.
Ensure all office filing is properly labeled and sorted by category for easy reference.
Review and enhance current group administrative systems and procedures, and/or develop new procedures where necessary to make the workplace more efficient, coordinating with relevant departments to ensure smooth implementation.
Assist in monitoring the work of the IT department in the absence of the IT Manager.
Record office expenditure and manage the budget; analyze variances; initiate corrective actions.
Partner with the HR department to maintain and review office policies as necessary.
Review and update health and safety policies and ensure they are observed.
Delegate work to staff and manage their workload and output; resolve any office coordination issues that arise.
Provide administrative support to the department’s operations and new outlet/division setup.
Handle all licenses, permits, and/or certifications, and maintain their renewal.
Monitor compliance issues affecting the company.

Requirements
Minimum 5 years of experience in an administrative role; added advantage if experienced with people management.
Diploma or Bachelor Degree in Business Administration or relevant field.
