Job Description:

We are seeking a dedicated and proactive Administrative Officer to join our team. The ideal candidate will provide comprehensive administrative support to ensure the smooth and efficient operation of our office. This role involves handling various administrative tasks, maintaining office systems, and supporting senior management.

Key Responsibilities:

  1. Administrative Support: Provide high-level administrative support to senior management, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  2. Office Management: Oversee daily office operations, including managing office supplies, equipment, and facilities.
  3. Documentation: Prepare, review, and manage company documents, reports, and correspondence. Maintain accurate records and filing systems.
  4. Communication: Act as the primary point of contact for internal and external communications. Handle phone calls, emails, and inquiries professionally.
  5. Event Coordination: Organize and coordinate company events, meetings, and conferences.
  6. Data Management: Maintain and update databases, ensure data accuracy, and generate reports as required.
  7. Compliance: Assist in ensuring compliance with company policies and procedures, and handle confidential information with discretion.
  8. Support: Provide support to various departments as needed and assist with special projects.

Requirements:

  1. Language: Proficient in Mandarin (both written & spoken) to effectively communicate with Mandarin-speaking clients.
  2. Education: SPM or equivalent; administrative experience or a related field is preferred.
  3. Experience: Minimum of 1 year of experience in an administrative role. Previous experience in a similar industry is a plus.
  4. Skills:
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and office equipment.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and attention to detail.
