A leading company in the food industry seeks an Administration Officer to handle compliance documentation, manage licenses, and coordinate with government agencies. This role requires strong organizational skills, experience in regulatory affairs, and proficiency in multiple languages. The ideal candidate will have a background in business administration and be immediately available to contribute to our team's success.
Assist in preparing and maintaining documentation for ISO audits and ensure compliance with quality management standards.
Coordinate and compile JKKP (Jabatan Keselamatan dan Kesihatan Pekerjaan) reports and related documents to ensure compliance with occupational safety and health regulations.
Ensure all required licenses, permits, and government-related documents are applied for, submitted, and renewed in a timely and compliant manner by liaising effectively with government agencies and local authorities.
Communicate and coordinate with other government departments as required to ensure all necessary compliance and documentation.
Manage FOSIM health certificate applications, ensuring accurate and timely submissions.
Prepare and process export documents, including invoices, packing lists, certificates of origin, and other shipping-related paperwork.
Assist in the application and maintenance of Halal certifications, including document submission, liaising with relevant authorities, and ensuring compliance with Halal standards.
Provide general administrative support, including filing, data entry, and maintaining accurate records.
Support ad-hoc administrative tasks as assigned.
Qualifications and Skills:
Minimum SPM or Diploma in Business Administration or related field.
Previous experience in administrative roles, preferably with exposure to ISO audits, JKKP, MBSP, export documentation, Halal certification, and liaising with government departments.
Minimum of 2–5 years of experience in regulatory affairs, government relations, licensing, or administrative compliance.
Proven experience working with government authorities, municipalities, or regulatory agencies.
Familiarity with documentation and procedures for business registrations, permits, and industry-specific licenses.
Experience using government e-portals or online application systems.
Strong organizational and time management skills with attention to detail.
Proficiency in Microsoft Office (Word, Excel, PowerPoint).
Good communication skills in Bahasa Malaysia, English, and Mandarin to effectively communicate with Mandarin-speaking clients (fluent).
Immediate availability to start work.
Ability to work independently and as part of a team.
