Job Scope: Admin Assistant

Company: Skyline Optical Trading Sdn Bhd Location: Taman Sungei Besi Midfield Square, Kuala Lumpur

Administrative Support

  • Manage day-to-day office operations and clerical tasks

  • Handle phone calls, emails, and incoming correspondence

  • Maintain proper filing systems for both physical and digital documents

Sales & Inventory Coordination

  • Assist in preparing quotations, invoices, delivery orders, and purchase orders

  • Record and track inventory movements using Excel or company system

  • Coordinate with suppliers and customers for orders and deliveries

Scheduling & Meeting Support

  • Maintain and update appointment calendars for meetings or delivery schedules

  • Prepare meeting materials and take meeting minutes if needed

Documentation & Data Entry

  • Ensure accurate data entry into internal systems (e.g., customer records, stock updates)

  • Prepare and compile reports for management when required

Office Management

  • Monitor and replenish office and stationery supplies

  • Coordinate maintenance and cleanliness of office equipment and workspace

Team Support

  • Assist other departments (sales, purchasing, accounts) with administrative needs

  • Liaise with couriers, vendors, and customers professionally

General Tasks

  • Ensure confidentiality and security of all company records

  • Carry out any ad-hoc tasks or projects assigned by the supervisor or manager

Working Hours & Work-Life Balance

  • Working Days: Monday to Friday

  • Working Hours: 9:00 AM – 6:00 PM (including 1-hour lunch break)
