A leading company in Malaysia seeks an Administration Officer who will manage project documentation, support administrative tasks, and ensure efficient inventory management. Candidates should have a relevant diploma and experience in administrative functions, with strong organizational and communication skills.
Create, manage, and maintain efficient project filing systems (physical and digital).
Prepare, distribute, and follow up on project-related documents with clients and internal teams.
Upload and update project files and statuses in systems.
Notify clients when goods are ready and generate Delivery Orders (DO).
Track and update warranty information for project-related items.
Ensure timely data entry for project files.
RESPONSIBILITIES:
Project & Document ManagementCreate, manage, and maintain efficient project filing systems (physical and digital).
Prepare, distribute, and follow up on project-related documents with clients and internal teams.
Upload and update project files and statuses in systems.
Notify clients when goods are ready and generate Delivery Orders (DO).
Track and update warranty information for project-related items.
Ensure timely data entry for project files.
Handle front desk duties, including reception and coordination of courier/transport services.
Perform general administrative duties such as filing, typing, copying, binding, and scanning.
Write and distribute emails, correspondence, memos, letters, faxes, and forms.
Assist in preparing regularly scheduled reports.
Support ad-hoc tasks as assigned by the supervisor.
Proactively update the reporting supervisor on task progress, project status, and any issues
Collaborate with the production team to manage incoming and outgoing stock efficiently.
Monitor and maintain office supply inventory; place and expedite supply orders as needed.
Verify and record the receipt of supplies and goods.
Coordinate with office assistant for stock handling and records.
Ensure smooth operation of office equipment through preventive maintenance, arranging repairs, and evaluating new equipment or techniques.
Maintain accurate and up-to-date employee leave and holiday records.
REQUIREMENTS
Certificate or Diploma in Administration or equivalent.
Proven experience as an Administrative Assistant or in a similar role.
Proficiency in MS Office (especially Excel and PowerPoint).
Familiarity with office equipment such as printers and scanners.
Excellent written and verbal communication skills.
Strong organizational and time management abilities.
Attention to detail and a proactive problem-solver.
Ability to multitask and prioritize effectively.
Polite, professional, and resourceful in communication and daily tasks.
Self-discipline with strong reporting and follow-up skills.
