A reputable company in Malaysia is seeking an organized and proactive Office Administrator to manage office operations and provide administrative support to upper management. The ideal candidate should possess a diploma in related fields, strong communication skills, and be proficient in MS Office. This role involves multitasking across various administrative duties and ensuring efficient office management while adhering to company procedures.
Responsibilities:
• Maintains safe and clean Director/C.E.O area by complying with procedures, rules, and regulations.
• Receive and great all visitors in professional and warm manner
• Handle general office administration, maintenance office equipment, replenishment of office stationaries and pantry supplies
• To make sure office will proper for closing.
• To undertake all other duties as and when instructed by the superior.
• Manage agendas/ travel arrangements/ appointments etc. for the upper management.
• Manage phone calls and correspondence (e-mail, letters, packages etc.)
• Support budgeting and bookkeeping procedures
• Create and update records and databases with personnel, and other data
• Track stocks of office supplies and place orders when necessary.
• Develop and carry out an efficient documentation and filing system.
• Coordinate travel & accommodation requirement for Management, family, guest & staff.
• To manage appointment of the Management
• To manage confidential documents, records and maintain good and organized filing for data retrieving
• To liaise effectively and professionally with all levels of Management, staff and business associates
• Perform any other administrative duties as and when assigned by the Management.
• To update monthly summary company credit card.
• Declare project levy to CIDB

• Proven experience as an office administrator, office assistant or relevant role

Requirements:
• Candidate must possesses at least Certificate/ Diploma in Office Management/ Office Administration/ Public Administration/ Secretarial Studies.
• Required language(s): Bahasa Malaysia, English.
• At least 1 to 2 years of working experience in related position.
• Pleasant personality, self confident, self motivated and able to work under pressure.
• Display excellent time management skills.
• Able to work in minimize supervision.
• Experience at working both independently and in a team – oriented, collaboration environment
• Familiarity with office management procedures
• Excellent knowledge of MS Office and office management software
• Qualifications in secretarial studies will be an advantage
