A leading company in Malaysia seeks an Administrative Executive to support the Director and manage administrative tasks across Malaysia and China. The role involves handling confidential documents, overseeing accounting tasks, and requires strong organizational skills. Candidates must have a diploma or degree and at least 5 years of relevant experience, with fluency in Chinese preferred.
· Plan, organize, and schedule meetings and appointments for the Director, including taking minutes of meetings.
· Manage the Director’s and Shareholders' travel arrangements, accommodation, transportation, and expenses claims.
· Handle confidential documents with discretion, including data management and filing.
· Monitor office supplies, stationery, maintenance of office equipment, and perform other administrative duties as needed.
· Oversee the signing of directors’ resolutions, letters, loan documents, legal documents, and others.
Administration for Company in China Job Responsibilities:
· Liaise with the China Account Team to manage monthly accounting tasks, including recording and billing business transactions.
· Ensure all payments and receipts have valid documents for filing.
· Prepare shipment documents for China and Malaysia (import and export).
· Coordinate with China and Malaysia forwarders for shipment arrangements.
· Manage China bank account funds for monthly expenses and supplier payments.
· Liaise with bank officers in China to monitor the company bank accounts.
Finance Job Responsibilities:
· Manage daily accounting tasks, including recording and filing business transactions.
· Perform banking transactions such as cash deposits, cheque processing, and bank transfers as required.
· Ensure timely processing of invoices and payments, including preparing payment vouchers and bank transactions.
· Manage the full payroll cycle: calculating salaries, deductions, and statutory contributions.
· Ensure payroll accuracy and complete processing within deadlines.
· Submit statutory payments such as EPF, PCB, SOCSO, EIS, on time to relevant authorities.
· Oversee employee claim processes, ensuring policy and limits compliance.
· Maintain employee personal files and prepare HR correspondence (e.g., confirmation, promotion, transfer, disciplinary letters).
Job Requirements:
· Diploma or Bachelor’s Degree in Business Administration or related field.
· Minimum 5 years of experience as an administrative executive is advantageous.
· Proficiency in Microsoft Office (Word, Excel, PowerPoint).
· Independent, mature, analytical, with critical thinking skills.
· Ability to work under pressure, good planning and time management, meticulous, and able to multitask.
· Good attitude, committed, willing to face challenges, and a team player.
· Must liaise with suppliers and accountants in China.
· Fluency in Chinese (spoken and written).
· Willing to work in Kepong.
· Availability to work on weekends or public holidays.
