Role - Executive - Accounts (Malaysia)

House of Shipping provides business consultancy and advisory services for Shipping & Logistics companies. Our commitment begins with understanding our clients' business fundamentals.

We are currently recruiting an Executive - Accounts on behalf of our client in Malaysia.

Job Purpose

This role manages payment collections, monitors accounts receivable, prepares Statements of Account (SOA) for Principals and third-party agents, and ensures timely resolution of discrepancies. It involves expense management, weekly reimbursements, and accurate posting of freight rates in the local SQL accounting system to maintain financial accuracy. The role also ensures compliance with tax regulations and e-invoicing standards, including SST returns and e-invoices.

Main Tasks and Responsibilities

Payment Collection

  • Monitor accounts receivable to ensure timely collection of payments via email and phone.
  • Prepare Statements of Account (SOA) for Principals and third-party agents, ensuring accuracy and resolving discrepancies.
  • Prepare and post the Weekly Agents Report (WAR) in LRP every Monday, collaborating with operations to address discrepancies.

Weekly Reimbursement Processing

  • Ensure freight rates are correctly posted in the local SQL Accounting system to prevent collection shortages.
  • Process weekly reimbursements accurately and efficiently.

Expense Management

  • Record administrative, Principal, and third-party agent expenses into the accounting system.
  • Prepare and submit SST returns in compliance with tax regulations.

Background, Experience, Competencies, and Skills

  • 2-5 years of experience in accounting or financial roles, preferably in shipping or logistics.
  • Strong knowledge of tax laws and current accounting standards.
  • Proficiency in financial software such as EBMS and Tally, with advanced Excel skills.
  • Experience in reconciliations, inter-company transactions, and financial reporting.
