A leading company in Malaysia is seeking an Account Executive to manage financial transactions and ensure timely payment processes. The successful candidate will oversee ledger management, monitor compliance, and support operational activities, requiring strong analytical skills and an accounting degree. This role is suited for detail-oriented professionals with significant experience and familiarity with accounting software.
Process, verify, and record all vendor invoices accurately and ensure timely payments based on agreed credit terms.
Monitor aging reports and ensure proactive follow-up on outstanding payments.
Generate and issue invoices to customers in a timely manner and ensure prompt collection of receivables.
Investigate and resolve any discrepancies or disputes with vendors and customers related to billing or payments.
Maintain updated records of all financial transactions in the accounting system.
2. General Ledger Management
Maintain up-to-date and accurate general ledger accounts across all departments.
Prepare and post journal entries, including accruals, adjustments, and reclassifications.
Support the finance team in performing account analysis and reconciliation for month-end and year-end closings.
Maintain supporting documentation for all journal entries and ensure compliance with internal controls.
Prepare weekly, monthly, quarterly, and annual financial statements, including balance sheets, profit and loss statements, and cash flow statements.
Analyze financial data and highlight significant variances, trends, or risks to the management team.
Assist in the development of the annual budget and financial forecasting.
Generate financial reports for internal use and assist with external reporting when required.
4. Compliance & Audits
Ensure adherence to accounting standards, internal policies, and statutory financial regulations.
Coordinate with auditors during internal and external audits by preparing requested documentation, schedules, and responses.
Assist in the implementation and review of accounting processes to enhance compliance and efficiency.
5. Inventory Management
Collaborate closely with the inventory and warehouse teams to ensure accurate and timely recording of stock movements.
Reconcile inventory records against physical counts and investigate any discrepancies.
Support inventory valuation and stock adjustment processes during reporting periods.
6. Bank & Cash Management
Perform regular bank reconciliations and ensure timely resolution of discrepancies.
Monitor cash flow on a daily, weekly, and monthly basis to support business operations.
Prepare cash flow reports for management review.
Ensure all cash transactions are properly documented and recorded in the system.
Handle communication with customers related to billing, payment status, and credit terms.
Foster and maintain strong relationships with vendors to ensure smooth operations and favorable terms.
Address and resolve any financial queries professionally and in a timely manner.
8. Operational Support
Ensure sufficient petty cash is available and properly tracked for office and operational needs.
Arrange all work-related travel for the team, including purchasing flight tickets and booking hotel accommodations.
Coordinate with licensed money changers for foreign currency exchange as required.
Handle international payments to overseas vendors or manufacturers, ensuring compliance with documentation and timelines.
Maintain proper filing and documentation of all financial records and travel-related expenses for audit purposes.
Bachelor’s degree in Accounting, Finance, or related field.
Minimum 3 years of experience in accounting.
Familiar with accounting software (QuickBooks, SAP, Autocount or similar).
Strong attention to detail and ability to meet deadlines.
Professional certifications (e.g., ACCA, CPA) are an advantage.
