Assistant Manager - Project Management (Projects & Facilities)

We’re looking for a detail-oriented, hands-on Assistant Project Manager to join our team and support the execution of interior fit-out projects across retail, restaurant, and commercial spaces.

Job Purpose:

The Assistant Project Manager supports the execution and delivery of interior fit-out projects across retail, restaurant, and commercial spaces. The role involves overseeing site works, coordinating with contractors and suppliers, ensuring quality standards, and maintaining project timelines and budgets. The role also includes preparing detailed project BOQs and shop/MEP drawings to support design coordination and construction accuracy and coordinating maintenance activities to ensure the lifecycle performance of assets and systems.

Key Responsibilities:

Project Coordination:

  • Assist in managing day-to-day site activities to ensure smooth execution of the fit-out project.
  • Coordinate between design, procurement, and construction teams to ensure project requirements are met.
  • Monitor construction progress and report to the Project Manager on key milestones, delays, and issues.

Drawings & Documentation:

  • Prepare detailed Bill of Quantities (BOQs) for each project phase, based on final drawings and material specifications.
  • Develop and update shop drawings and MEP coordination drawings for site execution and subcontractor references.
  • Review and verify contractor/shop drawings to ensure alignment with design intent.
  • Maintain comprehensive project documentation, including technical submittals, shop drawings, and drawing registers.
  • Prepare daily and weekly progress reports for internal stakeholders.

Site Supervision:

  • Conduct regular site inspections to monitor work quality, progress, and adherence to approved drawings.
  • Support site teams in resolving technical or coordination issues.
  • Ensure compliance with safety, quality, and regulatory standards.

Procurement & Scheduling:

  • Track and coordinate delivery schedules for materials, equipment, and long-lead items.
  • Provide technical input and quantities to the procurement team for vendor sourcing and material approvals.

Quality Assurance & Compliance:

  • Support the quality inspection process for all construction and MEP activities.
  • Assist in managing snag lists and ensuring timely resolution before handover.
  • Ensure all works comply with local codes and internal standards.

Stakeholder Communication:

  • Liaise with internal departments (operations, design, procurement) to ensure timely input and approvals.
  • Coordinate effectively with contractors, suppliers, and third-party consultants to meet project deadlines.

Facility Management Support:

  • Assist in the transition from construction to operations, including preparation of facility handover documentation.
  • Support in setting up preventive maintenance plans for MEP systems, kitchen equipment, HVAC, and utilities.
  • Coordinate with maintenance vendors and in-house teams to ensure timely resolution of repair and service requests.
  • Help monitor asset performance, conduct condition assessments, and update the asset registry when needed.
  • Maintain facility-related documentation, including warranty records, maintenance logs, and inspection reports.
  • Participate in periodic audits of facility conditions, safety compliance, and operational readiness.

Qualifications & Experience:

  • Bachelor’s Degree in Civil Engineering, Architecture, Interior Design, or related field.
  • 5+ years of experience in fit-out or interior construction, preferably in F&B, retail, or hospitality.
  • Strong knowledge in preparing BOQs, shop drawings, and MEP coordination drawings.
  • Familiarity with local construction codes, building regulations, and safety practices.
  • Proficiency in AutoCAD
  • Strong skills in MS Excel, MS Project
  • Detail-oriented with excellent technical and analytical skills.
  • Good understanding of MEP systems and interior finishes.
  • Ability to work in a fast-paced environment and handle multiple projects simultaneously.
  • Strong communication and coordination skills.
