Job description

Administration Manager - HR Department (Kuwaiti and Non-Kuwaiti preferred)

American International University - Kuwait

Reports to: Director HR & Admin

Job Role

This position oversees and manages all transactions related to government relations, visas, residencies, PUC approvals, apartments, transportation, and other logistics for staff members of AIU Kuwait. You will work closely with the HR team to ensure efficient employee relations and administration.

Key Responsibilities:
  1. Manage and coordinate transactions with government agencies and ministries.
  2. Process and maintain company licenses, permits, and authorized signatories, including permits for fire, trade & industry, municipality, labor, traffic department, information, justice, defense, and customs.
  3. Handle visas for overseas hires, staff residencies, PUC permits, social security registration and cancellation, and insurance.
  4. Coordinate university apartments and transportation arrangements for AIU faculty and staff.
  5. Collaborate with the HR team on relocation processes for overseas hires.
  6. Work with the maintenance team to manage company apartments effectively.
  7. Manage mailbox, telecom, and company lines.
  8. Ensure timely renewal of all company vehicle papers and insurances.
  9. Maintain accurate records of all admin documents, create and update the admin database and filing system, and handle confidential and sensitive information securely.
  10. Manage administrative contracts with third-party vendors.
  11. Perform additional duties as required.
Qualifications:
  1. Diploma or higher education qualification.
  2. 5-7 years of experience in a similar administrative role.
  3. Strong communication skills in Arabic and English, both written and spoken.
  4. Demonstrated accountability, ownership, and ability to execute tasks efficiently.
  5. Experience with Oracle HRMS, especially regarding employee records and payroll administration.
  6. Good knowledge of Kuwait labor law, PUC, visas, residencies, and related procedures.
