Job description

FUNCTION: Provide support to the Manager in the daily operations of the unit or department.

PRIMARY TASKS:

  1. Provide routine/special administrative support to the Manager and/or department in facilitating day to day activities/ project work.
  2. Assist in resolving administrative problems.
  3. Handle all administrative work for the department such as handling incoming/outgoing mail, correspondence, etc. and routing them appropriately for action.
  4. Prepare and review routine and non-routine correspondence such as memos, letters, emails and other correspondence as required.
  5. Receive visitors, arrange meetings, appointments and coordinate all logical needs for business trips on behalf of department staff with the relevant departments.
  6. Establish and maintain an effective filing system for all the confidential documents and reports and ensure they are stored in a safe and secure location.
  7. Order and maintain adequate stocks of stationery and office suppliers for the department.
  8. Provide support for staff within the department on various requirements as requested and follow up with concerned departments.
  9. Complies with AU policies and procedures.
  10. Undertake other duties as required by the Manager.

LEVEL OF RESPONSIBILITY: To ensure that duties are carried out to a satisfactory standard.

DIRECTION/SUPERVISION RECEIVED: General direction is provided by the Relevant Manager.
