ABOUT THE JOB

This position will be based in Chennai. As GPE moves in the future and we become more advanced in terms of automated workflows, electronic messaging and virtual information sharing, the main responsibility of this position/role will be to support the operations officer and provide technical support to the entire GPE Secretariat Services team (and the wider Secretariat) in the creation and maintenance of technical and electronic solutions, and any other tasks that may arise.

Duties And Accountabilities

Specific Tasks include the following:

  • Provide Technical support to teams throughout the Secretariat Services Team for the following:
  • Creation and technical facilitation of Zoom Webinars and Lunch and Learn sessions.
  • Coordination of multi-team virtual webinars.
  • Maintain workflows in MS forms, Lists, Power-automate, Sharepoint, Teams, Planner, Excel, Outlook shared email templates, etc.
  • Gather requirements, create workflows, conduct UATs.
  • Collaborate extensively with GPE’s Knowledge Management team and WBG’s IT team on a continuous basis.
  • Create and maintain SOPs/Playbooks, internet pages/contents and the team’s knowledge resource on Sharepoint.
  • Train system users, of varied caliber, on system/process changes and updates applicable to the Secretariat Service Team.
  • Develop need-based metrics to measure team successes.
  • Support on transition into Microsoft Dynamics by collecting business requirements and acting as Secretariat Services Focal Point for wider Secretariat wide project implementation.
  • Own the process of Data Management for all data gathered by Secretariat Services team in the course of Procurement, HR and other activities together with the periodic deletion of necessary data according to data retention guidelines.
OTHER MISC. TASKS
  • Gathering and processing data to identify process performance areas.
  • Support on detailed business analysis and process reengineering projects.
  • Educate business users responsible for handling and operating business processes.
  • Address service requests from staff and management that are assigned by the Team Lead.
  • Ad hoc activities will be assigned as needed/required. Additionally, all tasks are subject to change based on situations/requirements.
Selection Criteria
Education

Master’s degree in Engineering, Information Technology, Data & Analytics, Operations or a relevant related field.

Experience

At least 5 years of experience working within an IT, Data or Operational role.

Accountability & Results Focus, Adaptability, Collaboration & Teamwork, Communication & Interpersonal Skills, Planning & Organizing, Quantitative and Analytical Skills, Client Service Orientation, Knowledge of Policies, Processes, and Systems Relevant to GPE, Policy and Process Development & Management.
