The Sr. Associate/Associate – Legal provides operational andadministrative support to the Legal Department in litigation administration,legal drafting and documentation, oversee estate-related matters, regulatorycompliance and filing/reporting, and coordination with external advocates,government authorities, and internal stakeholders.
The role is responsible for ensuring accurate documentation, effectiverecords management, compliance monitoring and tracking, audit support, andefficient execution of day-to-day legal operations. The position also supportsmanagement and external counsel through disciplined process execution,structured reporting, and continuous improvement of legal administrationprocesses.
Key Responsibilities
- Maintain accuratedocumentation pertaining court proceedings including pleadings, writtenstatements, affidavits, applications, notices, agreements, memoranda, andofficial communications, ensuring proper indexing, tracking, and recordmaintenance.
- Maintain physical anddigital document repositories, including archiving and retrieval of legal andestate title deeds.
- Maintain strictconfidentiality of legal, commercial, and corporate information.
2.Litigation Management Support
- Coordinate withadvocates, counsels, court offices, and internal stakeholders on ongoinglitigation matters.
- Track hearing dates,limitation periods, filing deadlines, and compliance requirements to ensuretimely action.
- Assist in the preparationand compilation of case briefs, litigation records, and supporting documentsfor management and legal counsel.
- Monitor legal disputesand escalates potential litigation risks to the Reporting Manager and relevantstakeholders.
3. MIS,Records & Reporting
- Maintain and update legalMIS, including court diaries, case trackers, NDA registers, contract registers,compliance logs, and document repositories.
- Prepare periodic reports,dashboards, and status updates for management and legal leadership.
- Ensure accuracy,completeness, traceability, and integrity of legal and estate records.
- Assist in drafting,reviewing, formatting, and maintaining contracts, NDAs, lease deeds, licences,MOUs, POAs, loan documents, vendor agreements, and related legal instruments.
- Maintain registers tomonitor renewal timelines, validity periods, and contractual obligations.
- Coordinate execution,notarization, registration, and document filing activities.
- Support estate administrationactivities, licence management, renewals, terminations, and relateddocumentation.
- Liaise with registrationauthorities and external agencies for document registration and compliancerequirements.
5.Compliance, Audit & Regulatory Support
- Support monitoring ofstatutory and regulatory compliance applicable to the Company's businesses,including mining, real estate, lending, labour, environmental, corporate, andcommercial laws.
- Maintain compliancecalendars, regulatory trackers, and statutory records.
- Coordinate submission ofinformation and documentation to regulatory authorities.
- Assist in internal andexternal audits by preparing reports, contingent liability statements,schedules, and supporting documentation.
- Maintain audit trails andhistorical records for review and verification purposes.
- Review and maintain legaldocumentation relating to import-export transactions, including declarations,authorizations, licenses, indemnities, and other EXIM-related documents,wherever applicable.
6. ProcessImprovement & Knowledge Development
- Participate in trainingand development programs related to legal operations, compliance, recordsmanagement, ERP systems, and digital tools.
- Identify and implementimprovements to enhance efficiency, accuracy, and digitization of legalprocesses including AI tools/ trackers.
- Support automationinitiatives, system enhancements, and standardization of legal templates andworkflows.
- Assist in organizingawareness and training sessions for employees on legal and regulatorydevelopments relevant to the Company's operations.
7.Stakeholder Coordination
- Collaborate withadvocates, consultants, regulatory authorities, Accounts, Estate, and otherinternal departments to ensure seamless execution of legal and administrativeprocesses.
- Facilitate timelycommunication of legal updates, hearing schedules, compliance requirements, anddocumentation needs to relevant stakeholders.
- Build effective workingrelationships to support efficient resolution of legal and estate-relatedmatters.
Requirements
Qualifications & Experience-
- Bachelor's Degree in Law(LLB)
- Master’s in business/corporatelaw or Diploma in Corporate Governance or certification in Legal documentation orrelated disciplines will be an advantage.
- Sound knowledgeofapplicable laws, regulations, and legal procedures, particularly within Goa.
- Working knowledgeofcorporate, commercial, and import-export compliance requirements will bepreferred.
- 4 to 6 years ofexperience in legal administration, legal operations, documentation management,litigation support, contract administration, or related functions.
- Proficiency in MS Officeapplications, particularly Word and Excel.
- Working knowledgeofdocument management systems.
- Exposure to onlinefiling, payment and other digital tools will be preferred.
- Strong attention todetail and documentation accuracy.
- High standards ofintegrity and confidentiality.
- Excellent organizational,coordination, and follow-up skills.
- Ability to managemultiple priorities and meet deadlines.
- Basic administration andrecord-keeping capabilities.
- Proactive approach tolearning, problem-solving, and process improvement.
- Ability to interpretlegal and regulatory requirements and translate them into practical complianceactions.
