The ideal candidate will have deep expertise in Indian payroll regulations and other APAC countries and will play a pivotal role in ensuring accurate, compliant, and timely payroll delivery for our clients employees.

Skills & Qualification
  • Experience: 5+ years of experience in Indian payroll processing in a multinational or shared services environment.

  • Demonstrable experience working with Global Payroll models or payroll services for GCCs/global clients is essential.

  • Statutory Expertise: Deep and practical knowledge of PF, ESI, PT, TDS, and Labour Laws in India and other APAC countries.

Responsibilities
  • Manage the complete payroll lifecycle from payroll input collection, validation, processing, review, approvals, and final salary disbursement.

  • Handle payroll processing for India and other APAC countries, ensuring accuracy, timeliness, and adherence to country‑specific payroll calendars.

  • Coordinate with clients, employees, local payroll partners, finance teams, and internal stakeholders to resolve payroll queries and ensure timely closure.

Indian Statutory Compliance
  • Ensure compliance with Indian statutory requirements, including Provident Fund (PF), Employee State Insurance (ESI), Professional Tax (PT), Labour Welfare Fund (LWF), and other applicable regulations.

  • Manage TDS deductions under Section 192 and ensure accurate application of applicable tax rules.

  • Monitor statutory payment timelines, filings, challans, and compliance requirements to avoid penalties and interest.

Payroll Taxation & Reporting
  • Manage payroll taxation activities, including monthly TDS calculations, deductions, payments, and statutory reporting.

  • Oversee quarterly TDS returns, including Form 24Q, and annual Form 16 generation and distribution.

  • Support payroll processing under both the Old and New Tax Regimes and validate employee investment declarations and tax projections.

  • Prepare and review payroll reports, statutory reports, variance reports, and management reports.

APAC Payroll & Statutory Compliance
  • Process and support payroll across multiple APAC countries, ensuring adherence to local payroll legislation, tax regulations, social security requirements, and statutory deadlines.

  • Develop working knowledge of country‑specific statutory requirements such as CPF (Singapore), EPF/SOCSO/EIS (Malaysia), MPF (Hong Kong), SSS/PhilHealth/Pag‑IBIG (Philippines), BPJS (Indonesia), and applicable tax/social security requirements across other APAC countries.

  • Coordinate with local payroll partners and country experts to ensure accurate payroll processing and statutory compliance.

  • Track country‑specific payroll calendars, public holidays, payment deadlines, and statutory filing requirements.

Payroll Reconciliation & Controls
  • Perform detailed payroll reconciliations by comparing current‑period payroll with prior‑period results, source data, and employee‑level changes.

  • Validate gross‑to‑net calculations, earnings, deductions, taxes, statutory contributions, reimbursements, and other payroll components.

  • Investigate payroll variances and discrepancies and coordinate with relevant stakeholders to implement timely corrections.

  • Perform pre‑payroll and post‑payroll quality checks to maintain high payroll accuracy.

Payroll Inputs & Data Validation
  • Review and validate payroll inputs including new joiners, leavers, salary revisions, bonuses, allowances, deductions, unpaid leave, overtime, reimbursements, and other employee changes.

  • Ensure payroll inputs are complete, accurate, and received within agreed payroll cut‑off timelines.

  • Identify data inconsistencies and work with HR/clients to obtain the required clarification before payroll processing.

Payroll Implementation & Transition – Added Advantage
  • Support end‑to‑end payroll implementation and transition projects for India and APAC countries.

  • Participate in requirement gathering, payroll configuration, statutory setup, data migration, parallel runs, UAT, reconciliation, and go‑live activities.

  • Work closely with implementation, product, technology, and local payroll teams to configure country‑specific payroll requirements.

  • Support migration of payrolls from existing providers/platforms and ensure a smooth transition with minimal business disruption.

  • Prepare and validate payroll templates, test scenarios, process documentation, and implementation checklists.

Client & Stakeholder Management
  • Act as a payroll subject‑matter expert for clients and internal stakeholders, providing timely guidance on payroll and statutory matters.

  • Manage payroll queries and escalations, ensuring issues are investigated, communicated, and resolved within agreed SLAs.

  • Collaborate effectively with Finance, HR, Tax, Compliance, Product, Operations, and local payroll partners across different time zones.

Process Improvement & Governance
  • Identify opportunities to improve payroll processes, controls, automation, and operational efficiency.

  • Maintain payroll SOPs, process documentation, statutory trackers, payroll calendars, and control checklists.

  • Ensure adherence to internal controls, data confidentiality, audit requirements, and payroll governance standards.

  • Support internal and external payroll audits by providing accurate payroll records, reconciliations, reports, and supporting documentation.

Required Skills & Experience
  • Strong hands‑on experience in end‑to‑end payroll processing, preferably covering India and multiple APAC countries.

  • Strong knowledge of Indian payroll, taxation, and statutory compliance.

  • Working knowledge of APAC payroll practices and country‑specific statutory requirements.

  • Strong payroll reconciliation, analytical, and problem‑solving skills.

  • Experience working with payroll platforms, HRIS systems, or payroll software.

  • Excellent stakeholder and client management skills.

  • Payroll implementation, transition, migration, or new‑country setup experience will be an added advantage.

  • Ability to manage multiple payrolls, countries, and deadlines in a fast‑paced global payroll environment.
