Qualifications

• 4–8 years of experience in medical writing, scientific content creation, or marketing communications.
• Hands-on experience with Veeva PromoMats document lifecycle management.
• Complete understanding of MLR/PRC process and collaboration with stakeholders.
• Exceptional command of written English; impeccable grammar and proofreading skills.
• Eye for detail with a scientific mind.

Responsibilities

• Promotional Materials Support: intake, tracking, and lifecycle management in Veeva Vault PromoMats; assist with submission, versioning, archiving; monitor review cycles.
• Document Quality Check (QC): verify content completeness, correctness, formatting, references, and metadata; ensure SOP and regulatory alignment.
• Veeva Vault PromoMats Operations Support: respond to user queries, reclassify documents, update metadata, and handle resubmissions per SOPs.
• Compliance & Documentation: ensure materials comply with PRC/MRC; maintain QC checklists and audit trails.
• Communication & Coordination: liaise with Marketing, Medical, Regulatory, and Review teams; provide status updates and guidance.

Job Description:

The Scientific Veeva PromoMats Specialist should provide operational and quality support for marketing promotional materials within Veeva Vault PromoMats. The role focuses on ensuring accuracy, completeness, and compliance of promotional documents through defined quality checks, while supporting marketing and review teams in the end-to-end promotional material lifecycle in accordance with regulatory and internal standards.

Key Responsibilities of the position:

1. Promotional Materials Support
   Support intake, tracking, and lifecycle management of marketing promotional materials in Veeva Vault PromoMats.
   Assist marketing users with document submission, versioning, and archival activities.
   Monitor review cycles and ensure materials progress as per defined workflows.
2. Document Quality Check (QC)
   Perform quality checks on promotional documents for 1. Completeness and correctness of content
   2. Formatting, references, claims, and annotations
   3. Metadata accuracy (product, indication, country, material type, etc.)
   Verify adherence to internal SOPs, brand guidelines, and regulatory standards .
   Ensure consistency between source documents and derived promotional materials.
3. Veeva Vault PromoMats Operations Support
   user queries related to PromoMats workflows, document lifecycles, and permissions.
   Perform basic operational activities such as document reclassification, metadata updates, and resubmissions (as per SOPs).
   Coordinate with internal stakeholders and elevate system or workflow issues to IT/Veeva admins when required.
4. Compliance & Documentation
   Ensure all promotional materials comply with promotional review committee (PRC/MRC) requirements .
   Maintain QC checklists, audit trails, and supporting documentation.
   Support internal audits and inspections by providing documentation and evidence.
5. Communication & Coordination
   Act as a liaison between Marketing, Medical, Regulatory, and Review teams for PromoMats-related activities.
   Provide status updates, turnaround time tracking, and issue resolution support.
   Support onboarding and basic user guidance for PromoMats processes.

Candidate Pre‑Requisites

• Advanced degree in Life Sciences, Pharmacy, Medicine, or related field (PharmD, MPharm, BPharm, MSc preferred).
• 4 - 8 years of experience in medical writing, scientific content creation, or marketing communications in the biopharma or healthcare industry.
• Hands on experience of working on Veeva Promomats document life cycle management
• Complete understanding of MLR/PRC process and will be able to work closely with the stakeholders ensuring the documents reach AFD stage
• Exceptional command over written English; impeccable grammar and proofreading skills.
