Job description

Job Responsibilities
  1. Responsible for managing all aspects of the facility management service delivery system, primarily operations, and accountable for the achievement of the management team.
  2. Ensure that facility management staff provides timely reports to management and adheres to agreed SLAs & KPIs.
  3. Ensure that project managers and vendor staff track the completion of scheduled work.
  4. Ensure all reports, checklists, and statutory compliance are adhered to at all times.
  5. Ensure accuracy of data, analyze facility management costs, and highlight management insights accordingly.
  6. Accountable for project management services deliverables for the managed portfolio (branches or offices).
  7. Manage third-party service contractors appointed by the client.
  8. Ensure preventive maintenance schedules are completed as per schedule.
  9. Ensure effective completion of all incident reports and service connect calls within SLA.
  10. Review and act on deductions and penalties periodically.
  11. Coordinate with shift engineers for weekly planned schedules and engineering activities.
  12. Manage vendor performance on a monthly basis.
  13. Ensure monthly invoicing is completed on time with proper sign-off from authorized signatories.
  14. Undertake procurement procedures for facilities maintenance services.
  15. Manage and supervise day-to-day operations at the campus for direct reports.
  16. Conduct review meetings with service vendors to ensure compliance and service delivery.
  17. Achieve key performance indicators as per service agreements and client expectations.
  18. Track all vendor payments and bills, ensuring timely payments by the client.
  19. Ensure compliance with local and national statutory rules and submit all relevant statutory returns.
  20. Minimum of 6 years of residential site management experience required.
