Job summary

Heifer International in India is seeking a Program Support Associate to manage state office administration, logistics, procurement support, vendor management, and end-to-end event management for workshops, meetings, trainings, and seminars.

The role ensures timely operational support, compliance with organizational procedures, and efficient coordination with internal teams and external service providers across Bihar and Odisha.

Qualifications

  • 2+ years of relevant experience in programmatic and administrative support functions.
  • Bachelor's degree in Arts/Commerce, Social Sciences/Social Work or Livelihoods sector; MBA or Master's preferred.
  • Proficiency in Microsoft Word, PowerPoint, Excel, and Outlook.
  • Experience with development sector/INGOs is preferred.
  • Understanding of development issues and poverty in India.

Responsibilities

  • Manage day-to-day state office administration and coordinate support for state-level activities, meetings, trainings, and field visits
  • Maintain office records, inventories, files, and administrative documentation
  • Coordinate travel arrangements, accommodation, transportation, and logistics for staff, consultants, and visitors
  • Support procurement processes in line with organizational policies, and coordinate with vendors for quotations, negotiations, and delivery tracking
  • Maintain vendor records, procurement documentation, and payment-related paperwork
  • Coordinate printing, material development, and procurement of training and workshop materials
  • Assist in consultant coordination, contract documentation, and invoice processing
  • Lead end-to-end event management for workshops, meetings seminars, and review meetings at the state level
  • Coordinate venue identification, vendor finalization, hospitality arrangements, and participant logistics
  • Prepare event documentation including agendas, participant lists, and attendance sheets
  • Track event-related expenses and support timely settlement and documentation

Role

Requirements

  • Computer proficiency in Microsoft Word, PowerPoint, Excel, and Outlook
  • Experience working with the development sector/INGOs preferred
  • Sound understanding of integrated development issues and root causes of poverty in India
  • Knowledge of development trends, challenges, and implications for community development
