Siemens in Gurgaon is seeking a proactive Dispatch/Logistics Executive with 2–3 years of domestic dispatch experience to manage end-to-end shipments, coordinate with Planning, Production, and Quality, and optimize freight costs.

You will handle GST invoices, E-Way Bills, delivery challans, and ERP data updates, while collaborating with transporters, warehouses, and accounts. Proficiency in SAP and MS Excel is expected; strong communication and problem-solving skills are essential.

You’ll make a difference by:

• Responsible for executing end-to-end domestic dispatch operations, ensuring timely delivery, cost optimization, and compliance with statutory and internal guidelines. Requires strong coordination with cross-functional teams, transporters, and customers for seamless execution.
• Plan and execute daily dispatch schedules by coordinating with Planning, Production, and Quality teams to ensure readiness of materials.
• Organize and schedule vehicles for timely pickups and deliveries, ensuring availability as per dispatch plans.
• Coordinate with transporters for vehicle placement, route planning, and timely movement of goods.
• Negotiate freight rates with transporters to optimize logistics costs in coordination with SCM.
• Ensure accurate preparation of tax invoices, including correct billing details (Bill To, Ship To, GSTIN, HSN, quantities, pricing, and taxes).
• Generate and manage E-Way Bills to ensure compliance with GST regulations and avoid penalties.
• Create delivery challans for dispatch and ensure proper documentation accompanies each shipment.
• Coordinate with warehouse and loading teams for smooth and timely loading of vehicles.
• Monitor dispatch status and ensure on-time delivery to customers as per committed timelines.
• Maintain regular communication with customers regarding dispatch status, delivery schedules, and issue resolution.
• Handle dispatches for FOC (Free of Cost) materials such as short supply, damages, replacements, and warranty cases.
• Coordinate for courier shipments for urgent or small consignments.
• Ensure proper documentation and approvals for stock transfers and non-moving inventory movements.
• Track and update shipment details in ERP systems for accurate visibility and reporting.
• Upload freight costs in system to ensure correct margin tracking and cost control.
• Coordinate with accounts for billing, freight provisions, and reconciliation.
• Issue credit/debit notes as per company policies and customer requirements.
• Coordinate with insurance companies and internal teams for damage claims and settlements.
• Follow up with customers for delivery confirmations and pending payments recovery.
• Maintain proper records of dispatch documents for audits and compliance.

Your success is grounded in:

• Graduate with 2-3 years’ experience in domestic dispatch/logistics, preferably in manufacturing industry.
• Knowledge of domestic logistics and GST compliance.
• Experience in E-Way Bill and invoicing.
• ERP (SAP) and MS Excel proficiency.
• Strong coordination and communication skills.
• Problem-solving and analytical ability.
