Qualifications

What You’ll Do

At Avalara, we exist to make tax compliance simple and automatic for businesses everywhere. As a PMO Analyst, you will play a critical role in this mission by helping Avalara start customer projects with the right information, documentation, and operational setup in place before kickoff. This role improves handoffs between sales, Professional Services, and delivery teams by making sure project records, statements of work, internal requests, and setup steps are complete and accurate. By reducing delays and rework before project start dates, the role helps teams deliver a smoother customer experience and supports stronger operational consistency across Professional Services. The PMO Analyst maintains continuity for operational support, documentation, request tracking, and cross-functional coordination as the team replaces an outgoing analyst. The role helps Professional Services improve sales-to-invoicing support and strengthen process consistency so delivery teams can move customer work forward with accuracy, speed, and less friction.

What Your Responsibilities Will Be
  • Create, organize, and maintain Professional Services documentation so implementation teams have accurate materials before customer project kickoff.
  • Enter and validate key project data in internal systems to support accurate tracking, reporting, and downstream handoffs.
  • Set up customer projects for implementation teams by confirming required information, documentation, and operational steps are complete before start dates.
  • Support assigned product lines from sales through invoicing by coordinating required documentation, requests, and system updates.
  • Create standard statements of work using approved templates and established internal processes.
  • Monitor sales request queues and route, update, or resolve requests within defined process expectations.
  • Follow Professional Services processes and procedures to support consistent project setup and operational execution.
  • Conduct customer welcome calls to confirm kickoff readiness, set expectations, and support a smooth transition into implementation.
  • Use automation and artificial intelligence tools to improve process consistency, reduce manual work, and increase the speed and accuracy of Professional Services operations.
What You’ll Need to be Successful
Qualifications
  • Bachelor of Science in Computer Science or Engineering.
  • 2–4 years of experience in project coordination, operations support, professional services, sales operations, or a related role.
  • Experience using Salesforce to enter, maintain, and track operational or customer project data.
  • Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
  • Experience using approved automation or artificial intelligence tools to improve process accuracy, reduce manual work, create reusable workflows, or support operational consistency.
  • Ability to follow defined processes, manage multiple requests, and maintain accurate documentation.
  • Strong written and verbal communication skills.

For this role, the Project Management Office (PMO) Analyst - Professional Services uses approved artificial intelligence and automation tools to improve project setup, documentation accuracy, sales request queue handling, and sales‑to‑invoicing workflows. The analyst creates reusable prompts, templates, and lightweight process improvements that reduce rework, improve data quality, and help Professional Services teams prepare customer projects before kickoff. The analyst shares effective practices with peers and tracks improvements in speed, accuracy, or consistency where possible.
