Version 1 is seeking an experienced Operations Coordinator to join Group Operations in Bengaluru. You will own Kantata, manage timesheet administration, coordinate forecasts with OBPs, handle end-of-tenure clearances, and ensure data accuracy across practice reporting, governance and invoicing.

Job description

Group Operations within Version 1 is seeking an experienced and results-driven Operations Coordinator to join our team.

The role plays a critical part in ensuring the smooth and effective running of multiple Practices. As a key member of the Shared Operations Team, you will be responsible for coordinating operational processes, systems, reporting and data governance, providing the insight, structure and support needed to drive operational excellence and business performance. You will also be expected to follow and adhere to established standard operating procedures (SOPs), while identifying opportunities to enhance and improve them where appropriate.

The successful candidate will possess strong commercial awareness, a passion for data and a keen eye for accuracy, while building effective relationships across a wide range of teams and stakeholders. They will have a proven track record of driving outcomes, coordinating activities and getting things done, even where they do not have direct ownership or authority over the resources involved.

Key Responsibilities:

Kantata & Operational Administration

Own and coordinate Kantata, our centralised timesheet and resourcing tool, including:

Coordinating ownership of new proposals through CRM synchronisation.

Managing timesheet administration and follow-up.

Working closely with Operations Business Partners (OBPs) to ensure monthly forecasts are in place and accurately maintained.

Processing end-of-tenure leavers.

Triggering new hire requests (ESRs).

Maintaining system hygiene and following up on missing business units, unbuilt proposals and other items identified by the Kantata team.

Ensure key operational data is maintained, reviewed and understood accurately and on a timely basis.

Develop a strong understanding of the financial and commercial drivers within Practice forecasts.

Monitor and maintain recurring revenue information, ensuring contract data is accurate and revenue is appropriately captured.

Monitor project resourcing, including available talent and external hiring requirements.

Monitor individual and team chargeability and understand the key drivers behind week-on-week fluctuations.

Track and report contractor utilisation on a monthly basis.

Prepare regular reports and provide meaningful insights and key information to support the Leadership Team.

Governance, Compliance & Reporting

Support compliance reporting across areas including ITIL, Cyber Essentials, phishing awareness and vulnerability communications.

Support the tracking and governance of operational actions, ensuring appropriate follow-up and closure.

Own and/or attend key meetings across the week, ensuring minutes, actions and follow-ups are accurately documented and progressed.

Process Improvement & Automation

Continuously identify opportunities to improve processes and procedures within the Practice and across the wider organisation.

Collaborate regularly with counterparts across the business to promote consistency and a single way of working.

Identify opportunities to automate operational processes and drive automation where practical and beneficial.

Proactively identify issues and work with relevant stakeholders to develop and implement solutions.

General Operations Support

Provide general administrative and operational support to the Practice as required.

Manage multiple priorities effectively, ensuring tasks and activities are completed accurately and within agreed deadlines.

Build strong working relationships with Practice Leads, Delivery Managers and other stakeholders across the business.

Qualifications

Skills, Experience & Qualifications

At least 5 years' experience in similar operations, coordination or practice support role.

Strong analytical skills with a genuine interest in working with data, understanding trends and identifying the drivers behind the numbers.

Strong attention to detail and a high level of accuracy.

Good commercial awareness and numerical acumen. A financial background is desirable but not essential.

Comfortable working with Excel at an intermediate level, including lookups and pivot tables.

Highly organised, with the ability to manage multiple priorities and deliver against deadlines.

Strong ownership and accountability, with a proven ability to follow tasks through to completion.

Proactive and solution-focused, with the confidence to identify issues and initiate appropriate action.

Collaborative approach, with the ability to bring the right people together to resolve issues and drive outcomes.

Excellent communication and interpersonal skills, with the ability to build effective relationships across different teams and levels of the organisation.

Discreet and trustworthy, with the ability to handle sensitive and confidential information appropriately.

Comfortable working in a fast-paced environment and adapting to changing priorities.
