A global life sciences company in Bengaluru seeks an Administrative Support professional for its Preclinical Oncology group. This role involves coordinating training sessions, monitoring enrollment in courses, and supporting various administrative tasks. Ideal candidates should have a degree in an administrative field, exceptional customer service skills, and project management experience. This is a dynamic position requiring flexibility and the ability to work in fast-paced environments.
Prepares, processes, and maintains documents to register and track employees in Learning Path and Qdocs.
¨ Monitors enrollment of courses using Learning Path and QDocs.
¨ Organizes document revisions, works with subject matter experts, reviewers and approvers to ensure controlled documents are managed effectively and have the proper reviews.
¨ Processes documents for end users
¨ Ensures learning systems are updated in alignment with revisions to controlled documents
¨ Serves as an information source for others in the organization regarding training sessions, requiring extensive employee interactions to answer questions regarding enrollment, pre work, location and timing.
¨ Coordinates and manages the production of internal training materials, requiring interaction with various external vendors, using various equipment and systems, and orchestrating the shipment in a timely manner.
¨ Coordinates and assist in general office work which includes typing memos, purchasing supplies, preparing reports and other documents, and creating presentations.
¨ Schedules and coordinates training programs at various locations which requires making room reservations, working with catering or break service personnel, arranging for any necessary audio/visual equipment, scheduling web ex or teleconference sessions, and communicating sessions to the organization.
¨ Supports others in the Center with their daily responsibilities as requested.
¨ Supports the Operations Planning Team in special projects as needed.
¨ On occasion, designs and develops specific learning solutions for specific units and departments using proven design methodology and project management techniques.
QUALIFICATION:
BS/BA degree
For example a two-year Associate degree in administrative field plus 5 – 7 years of applicable experience may be substituted for the BS/BA degree.
Outstanding customer service skills
Advanced organization skills and project management skills
Experience in handling confidential information
Advanced knowledge of computer programs (Word, Excel, PowerPoint) Experience with training procedures and coordinating programs
Ability to solve problems with minimal guidance
Ability to work and prioritize assignments in a fast-paced setting with many interruptions
Must be flexible and willing to assist others as needed in a team environment · Experience may be substituted for education.
