Job summary

Pathkind Labs is seeking a detail-oriented procurement and administration professional responsible for end-to-end lab material management, PR creation, and stock control across multiple labs. You will coordinate with central teams, handle invoicing and MIS reporting, and ensure timely compliance with SOPs.

The role involves frequent liaison with Lab Heads, Accounts, HR, and external authorities, with a focus on accuracy in records and timely cash reconciliation.

Responsibilities

• Coordinate with various Sections/Labs to maintain inventory of materials.
• Generate Purchase Requests (PR) based on MAC (Monthly Average Computation) according to workload.
• Track pending/partial deliveries from Central Purchase Team.
• Accept or reject received materials per Central Purchase Department SOP.
• Monitor over/under stocking within labs/clusters.
• Communicate with Section/Lab Heads for short expiry goods and timely utilization.
• Generate GRNs and submit invoices to Central Accounts with documents for payment within timelines.
• Coordinate with all labs for monthly stock verification and report submission to Central Accounts.
• Control expenses of Labs and perform revenue reconciliation.
• Handle petty cash expenses and maintain records.
• Coordinate with Central Accounts for lab-wise cash reconciliation.
• Reconcile manpower attendance, leaves and OT for cluster labs/HLMs with HR.
• Assist new joiners with joining formalities and TA/DA settlements.
• liaise with authorities (CMO Office, Pollution, Municipal, Fire, Labour) and Consultants.
• Prepare monthly MIS reports and perform SAP & Excel tasks.
• Any other duties assigned by Management.

Role & responsibilities

• Position is responsible for coordinating with various Sections/Labs for maintaining inventory of material, generating Purchase Request (PR) based on MAC (Monthly Average Computation) as per the workload, tracking Pending /Partial delivery of material from Central Purchase Team.
• Position is responsible for acceptance or rejection of received materials as per defined Central Purchase Department SOP.
• Position is responsible for over/less stocking within the labs/cluster.
• Position is responsible to monitor and communicate with respective Section/Lab Head/CBH for short expiry of goods and their timely utilization.
• Generating GRNs and submission of Invoices to Central Accounts Department with related documents for payment process within the set timelines.
• Position is responsible for coordinating with all labs within the cluster for monthly stock verification and submission of data to Central Accounts Department.
• Have to control over all expenses of Labs.
• Revenue controlling & reconciliation.
• Handling petty cash expenses and record maintenance.
• Coordinating with Central Accounts Department for lab-wise cash reconciliation.
• Reconciling manpower attendance, leaves and OT hours of cluster labs/HLMs and sharing the same with HR.
• Taking care of new joiners joining formalities and maintaining employee’s TA & DA settlement.
• Position is responsible for liaisoning with concerned Government and other Authorities i.e. CMO Office, Pollution Department, Municipal Office, Fire Department, Labour Department, etc. and co-ordinate with Consultants.
• Preparation of monthly MIS report.
• Performing all activities in SAP & excel.
• Any other responsibility other than mentioned above that may be assigned by the Management from time to time.
