  • Familiarity with banking operations, treasury, KYC/AML and cross-border transactions.
  • Strong Excel and MIS/reporting skills.
  • Ability to understand and work through detailed financial, legal, tax and banking documentation.

Responsibilities

Executive Assistant to the CIO / Assistant Manager Family Office

Location: Connaught Place, New Delhi
Experience: 5–8 Years
Reporting To: Chief Investment Officer

About the Role

We are looking for an Executive Assistant to the CIO / Assistant Manager to support the Chief Investment Officer of a large family office managing a USD 500M+ diversified investment portfolio across equities, funds, structured products, real estate and alternative investments.

This is not a conventional Executive Assistant role. The position requires strong domain knowledge of investments, portfolio management, banking and financial operations, along with excellent coordination, analytical and documentation skills.

The candidate will work closely with the CIO, promoters, banks, trustees, lawyers, accountants, fund managers and other external advisors across multiple jurisdictions.

Key Responsibilities
1. Investment & Portfolio Support
  • Support the CIO across the investment lifecycle, including evaluation, approval notes, documentation, execution, settlement and monitoring.
  • Review term sheets, factsheets and offering documents.
  • Prepare comparative analysis of investments covering returns, fees, liquidity, risk and tax considerations.
  • Track portfolio performance against benchmarks.
  • Coordinate subscriptions, redemptions and other investment transactions.
  • Maintain transaction, approval and investment records.
2. Banking, Treasury & Cash Management
  • Coordinate account opening, KYC/AML and ongoing banking requirements with global and Indian banks.
  • Support cross-border payments, FX conversions, liquidity monitoring and bank reconciliations.
  • Coordinate with banks and custodians on operational and documentation requirements.
3. Regulatory & Compliance Support
  • Support transactions relating to FEMA, RBI and ODI requirements.
  • Prepare factual briefs and documentation for legal and tax advisors.
  • Coordinate regulatory filings and maintain records of approvals, opinions and ongoing obligations.
4. Family Office / Entity Management
  • Support the administration of trusts, SPVs and operating companies across multiple jurisdictions.
  • Maintain structure charts, corporate registers and compliance calendars.
  • Track annual returns, filings and other regulatory requirements.
5. Legal, Real Estate & Project Coordination
  • Prepare legal briefs, chronologies and issue trackers for cross-border matters.
  • Coordinate with external advisors and track deliverables, fees and deadlines.
  • Support cost accounting, budget tracking and approvals for real estate projects.
6. MIS, Reporting & CIO Support
  • Maintain Excel-based MIS covering portfolio performance, banking, cash flow and entity-level reporting.
  • Assist in exploring AI-enabled tools for reporting and document review.
  • Prepare CIO/promoter-ready briefing notes, agendas, trackers and presentations.
  • Maintain an organised and easily retrievable document repository.
Candidate Profile
Educational Qualification
