ProcDNA seeks a highly organized Executive Assistant to support U.S. business development and leadership from its India office in Bengaluru. You will coordinate senior leaders' schedules, manage communications, and help with client engagement across time zones.

Executive Assistant – U.S. Business Development & Leadership Support (India)
About the role

We are looking for a highly organised and proactive Executive Assistant in our India office to support senior leadership on U.S.-focused business development, client engagement, and day-to-day operations. The ideal candidate has experience supporting international, ideally U.S.-based, executives, with strong attention to detail, excellent communication skills, and the ability to work smoothly across time zones.

What you’ll do

1. Business development support (primary)

  • Partner with leadership to identify and prioritise target clients for outreach.
  • Research organisations and map key decision-makers using LinkedIn.
  • Maintain and update the CRM (e.g., HubSpot) so that business development activity is tracked accurately.

2. Client and internal engagement

  • Coordinate client and internal appreciation initiatives, including gifting, motivational tools, and recognition programmes.
  • Plan and execute virtual and in-person engagement activities that strengthen relationships.

3. Travel and logistics (secondary)

  • Manage end-to-end travel planning for leaders, including flights, hotels, and local logistics.
  • Support visa applications, itineraries, and schedule coordination for international travel.
What you’ll bring

Must have

  • Proven experience supporting an international executive, preferably one based in the U.S.
  • Strong proficiency with technology platforms such as SharePoint and CRM tools (e.g., HubSpot).
  • Excellent written and verbal communication skills, with a strong command of professional email etiquette.
  • Exceptional attention to detail, with strong organisational and documentation skills.
  • Ability to work independently, manage competing priorities, and handle time zone differences effectively.
  • Availability until 12 pm ET on two days per week (not necessarily all five). A later start to the day is fine.

  • Quick learner who readily adopts new digital tools (e.g., ChatGPT, workflow automation tools).
