Human Resources & Administration Operations Manager
India
This role will be based in India – Bangalore and reports to the Human Resources Director, APAC.
Brief Summary
This position will manage day-to-day human resources operations and general administration. The role is responsible for recruitment coordination, employee lifecycle management, attendance and payroll inputs, statutory compliance, employee engagement, performance management support, facilities administration, vendor coordination, and maintenance of HR records.
The ideal candidate should possess strong knowledge of HR processes and Indian labour laws, excellent interpersonal skills, and the ability to independently manage multiple operational priorities.
Job Description
Human Resources Operations
- Manage employee lifecycle activities, including onboarding, confirmation, transfer, promotion, and separation.
- Prepare offer letters, appointment letters, confirmation letters, increment letters, experience certificates, and other employment-related documents.
- Maintain accurate employee records, personnel files, HR databases, and HRIS information.
- Monitor attendance, leave, shift schedules, overtime, and employee regularisation requests.
- Coordinate monthly payroll inputs, including attendance, leave, incentives, deductions, reimbursements, and final settlements.
- Respond to employee queries regarding HR policies, attendance, leave, payroll, benefits, and employment matters.
- Ensure HR processes are completed within established timelines and approval procedures.
Recruitment and Onboarding
- Coordinate manpower requisitions with department heads and hiring managers.
- Source candidates through job portals, recruitment consultants, referrals, social media, and other appropriate channels.
- Screen applications, schedule interviews, coordinate selection processes, and follow up with candidates.
- Conduct reference and background verification as required.
- Manage pre-joining documentation and joining formalities.
- Plan and conduct employee induction and orientation programmes.
- Track recruitment status, joining ratios, offer acceptance, and vacancy closure timelines.
Performance Management and Training
- Coordinate performance appraisal cycles and ensure timely completion of employee assessments.
- Support managers in setting performance goals and documenting employee feedback.
- Maintain records of appraisals, promotions, increments, and performance improvement plans.
- Identify training requirements in consultation with department heads.
- Coordinate internal and external training programmes.
- Maintain training calendars, attendance records, feedback, and effectiveness reports.
Employee Engagement and Relations
- Support employee engagement, recognition, welfare, and retention initiatives.
- Organise employee events, celebrations, meetings, surveys, and team-building activities.
- Address employee concerns professionally and elevate sensitive matters when necessary.
- Support grievance handling and disciplinary processes in accordance with company policies.
- Conduct exit interviews, analyse reasons for attrition, and recommend corrective measures.

HR Policies and Statutory Compliance
- Assist in communicating and implementing HR policies and procedures.
- Ensure compliance with applicable labour laws and statutory requirements.
- Coordinate documentation relating to Provident Fund, ESIC, professional tax, gratuity, bonus, maternity benefits, and other applicable employee benefits.
- Maintain statutory registers, licences, notices, returns, and compliance records.
- Coordinate with consultants, auditors, government authorities, and legal advisers when required.
- Support internal, statutory, and HR audits and ensure timely closure of observations.
- Maintain confidentiality of employee information and sensitive organisational records.
Administration and Facilities Management
- Manage day-to-day office administration and ensure smooth workplace operations.
- Coordinate housekeeping, security, transportation, canteen, maintenance, stationery, and other administrative services.
- Manage office infrastructure, repairs, preventive maintenance, and utility services.
- Coordinate travel arrangements, hotel bookings, local transportation, and related documentation.
- Maintain records of company assets, access cards, mobile phones, laptops, SIM cards, and other administrative resources.
- Monitor office safety, security, hygiene, and emergency preparedness.
- Coordinate renewals of insurance policies, annual maintenance contracts, registrations, licences, and service agreements.
- Support office relocation, expansion, renovation, and workplace improvement projects when required.
Vendor and Cost Management for HR and Administration Tasks
- Identify, evaluate, appoint, and coordinate with HR and administration vendors.
- Obtain quotations, prepare comparative statements, and support commercial negotiations.
- Monitor vendor performance, service quality, contractual obligations, and payment documentation.
- Verify invoices and coordinate with the Finance department for timely payment.
- Track administrative expenses and identify opportunities for cost optimisation.
- Maintain vendor contracts, purchase records, and renewal schedules.
Management Information and Reporting
- Prepare periodic HR and administration reports for management review.
- Track manpower, recruitment, attendance, leave, overtime, attrition, training, and employee engagement data.
- Maintain HR dashboards and provide accurate information for management decision-making.
- Monitor departmental budgets and report actual expenditure against approved budgets.
- Ensure all HR and administration data is complete, accurate, and submitted on time.
Qualifications
- Bachelor’s degree in human resources, Business Administration, Commerce, Management, or a related discipline.
- MBA, postgraduate degree, or diploma in Human Resource Management is preferred.
- Certification in labour laws, payroll, compliance, or HR analytics will be an advantage.
- 10–12 years of relevant experience in HR operations and general administration.
Required Skills & Abilities
- Practical knowledge of recruitment, payroll inputs, compliance, employee relations, performance management, and office administration.
- Experience working in [Manufacturing/IT/Services/Corporate Office/Relevant Industry] is preferred.
- Good communication and interpersonal skills.
