Key Responsibilities
1. Human Resources Management
- Develop and implement HR policies, systems, and procedures aligned with organizational strategy.
- Manage end-to-end recruitment and selection processes across all levels.
- Oversee onboarding, induction, and employee orientation programs.
- Drive performance management systems including goal-setting, appraisals, and career development.
- Ensure training and development programs for employee skill enhancement.
- Maintain employee records and HRMIS systems.
- Handle employee relations, grievances, and disciplinary actions as per company policy.
2. Compliance & Statutory Responsibilities
- Ensure compliance with labor laws and statutory requirements (ESIC, PF, Bonus Act, Minimum Wages, Gratuity, Shops & Establishments Act, etc.).
- Liaise with government authorities and ensure timely filing of statutory returns.
- Implement workplace health, safety, and hygiene protocols, especially relevant to cosmetics manufacturing standards.
3. Payroll & Compensation Management
- Supervise payroll processing, attendance management, and leave records.
- Ensure timely salary disbursement and full & final settlements.
- Design competitive compensation structures and benefits in line with industry standards.
4. Administration Management (Detailed)
The HR & Admin Head will supervise and manage the following administrative functions:
A. Office & Facility Management
- Supervise maintenance of office and factory premises.
- Coordinate maintenance of electricals, plumbing, IT infrastructure, CCTV, and utilities.
- Ensure uninterrupted electricity, internet, water supply, and workspace readiness.
B. Housekeeping & Hygiene
- Oversee daily cleaning of work areas, production floors, washrooms, reception, and cafeteria.
- Ensure sanitation standards as per manufacturing and factory norms.
- Maintain stock and purchase of cleaning materials.
C. Security Management
- Manage security staff and monitor entry/exit of employees and visitors.
- Maintain CCTV, access cards, gate-pass registers, and surveillance protocols.
D. Canteen & Pantry Management
- Oversee pantry operations, food arrangements, and staff requirements.
- Maintain cleanliness and hygiene standards in dining areas.
- Manage vendors and stock inventory.
E. Transport & Travel Coordination
- Manage transportation arrangements for staff, visitors, and factory personnel.
- Coordinate hotel bookings, cab services, and travel schedules.
- Maintain company vehicle records and fuel logs.
F. Inventory & Asset Management
- Maintain stock records for office supplies, IT equipment, tools, and furniture.
- Issue and track company assets (laptops, safety gear, ID cards, lockers, etc.).
- Conduct regular inventory checks and audits.
G. Vendor & Contract Management
- Identify and manage vendors for admin-related services like security, housekeeping, pest control, waste management, packaging, printing, etc.
- Negotiate rates, prepare AMCs, and ensure timely renewals.
H. Licenses & Admin Compliance
- Oversee renewal and compliance for:
- Factory license
- Fire NOC
- Pollution control certificates
- Lift license
- Health and safety permits
Coordinate with consultants and regulatory departments as required.
I. Office Discipline & Support
- Manage seating plans, access cards, ID cards, courier services, visitor management, and reception desk.
- Ensure discipline in common areas like cafeteria, lobby, meeting rooms, and washrooms.
5. Strategic HR Initiatives
- Align workforce planning with business objectives.
- Develop engagement and retention strategies.
- Lead succession planning and leadership development initiatives.
- Promote organizational culture, professionalism, and discipline.

Qualifications & Experience
- Masters / MBA in Human Resources, Business Administration, or related field.
- 10+ years of progressive experience in HR & Administration, with at least 3-5 years in a leadership role.
- Mandatory exposure to cosmetics, personal care, or manufacturing environments.
- Experience managing compliance, workforce, and administration in a factory setup is preferred.
