Descripción del empleo

This position is listed on behalf of a partner company, which manages all applications and next steps. Our partner is looking for a Grants Payable Specialist based in India.

We are seeking a detail-oriented Grants Payable Specialist to support financial operations related to clinical research site and investigator payments. In this role, you will help ensure payments are processed accurately and on time while maintaining reliable accounting records and strong financial controls. You will manage reconciliations, vendor data, tax and transparency reporting, and month-end closing activities in a quality-focused, global clinical research environment. Working closely with vendors, banking partners, and internal stakeholders, you will investigate payment queries and resolve discrepancies efficiently. You will also contribute to audit readiness, process improvements, and knowledge sharing by supporting the onboarding of new team members. This opportunity is ideal for an accounting or finance professional who values accuracy, accountability, collaboration, and the opportunity to contribute to research that helps improve patient outcomes.

Accountabilities
  • Process site and investigator payments: Ensure clinical research site and investigator payments are completed accurately, efficiently, and within established timelines.

  • Manage grants payable accounting: Perform accounting activities associated with grants payable, including cash reconciliations and project-specific reconciliations.

  • Prepare financial and regulatory reports: Compile and maintain reports required for tax and transparency purposes, including applicable Sunshine Act reporting.

  • Support month-end closing: Participate in financial close activities, ensure records are accurate and complete, and respond to audit-related questions and information requests.

  • Maintain vendor records: Perform vendor master data maintenance, verification, and validation to support accurate payment processing and reliable financial information.

  • Resolve payment inquiries: Investigate site payment questions, identify discrepancies, and coordinate with banking partners and relevant internal departments to resolve issues.

  • Build vendor relationships: Communicate professionally with vendors regarding invoices, payment status, and outstanding issues, taking ownership of complex or problematic cases.

  • Maintain financial controls: Follow established accounting procedures, internal controls, and business best practices while identifying opportunities to improve processes and operational reliability.

  • Support audits and documentation: Maintain accurate financial records and provide timely, organized information to support audit requirements and financial reporting.

  • Assist with team development: Help train and guide new team members by sharing knowledge of processes, systems, and best practices.

  • Contribute to team objectives: Manage additional responsibilities as assigned while maintaining accuracy, productivity, and compliance with established deadlines.

Requirements
  • Education: A degree in Finance, Economics, Accounting, or a related field, or an equivalent qualification.

  • Relevant experience: At least three years of professional experience in financial operations, accounting, accounts payable, or a closely related function.

  • Accounts payable expertise: Practical knowledge of invoice processing, payment operations, reconciliations, and financial recordkeeping.

  • Vendor management: Ability to establish and maintain productive vendor relationships, respond to invoice and payment inquiries, and resolve discrepancies or complex cases effectively.

  • Financial systems proficiency: Strong working knowledge of financial software applications and databases, with experience using enterprise resource planning (ERP) systems considered an advantage.

  • Advanced Excel skills: Strong Microsoft Excel capabilities are essential, including the ability to organize, analyze, validate, and report financial data accurately.

  • Microsoft Office proficiency: Competence with other Microsoft Office applications for reporting, documentation, and day-to-day collaboration.

  • Accounting and reporting knowledge: Understanding of reconciliations, month-end close procedures, financial controls, audit support, and relevant tax or transparency reporting requirements.

  • Attention to detail: A consistent commitment to accuracy, quality, and getting tasks right the first time.

  • Organization and time management: Ability to prioritize multiple tasks, manage competing deadlines, and maintain dependable output in a fast‑paced environment.

  • Communication skills: Strong written and verbal communication skills, including proficiency in English and the ability to present information clearly and concisely.

  • Interpersonal effectiveness: Confidence working with vendors, colleagues, banking partners, and stakeholders at different organizational levels.

  • Initiative and accountability: A proactive, self‑motivated approach, with the ability to work independently, take ownership of responsibilities, and follow through on issues.

  • Problem‑solving ability: A practical, analytical mindset and a willingness to investigate discrepancies, identify root causes, and recommend improvements.

  • Adaptability under pressure: Ability to maintain high standards of accuracy while working under pressure and meeting tight deadlines.

  • Continuous improvement mindset: Interest in strengthening processes, improving internal controls, and applying business best practices.

  • Professional development: Progression to more senior levels is based on demonstrated competency, scope of responsibility, and the ability to work independently, rather than years of experience alone.

Benefits
  • Remote work arrangement: The position is listed as remote, offering the flexibility of working outside a traditional office environment.

  • Full‑time employment: A full‑time opportunity within a global clinical research organization.

  • Purpose‑driven work: The opportunity to support clinical research operations that contribute to the development of treatments and improved patient outcomes.
