We are seeking an accomplished General Manager – Operations to lead the non-academic operational functions of Pathways World School, a premium day and residential international school in Gurugram. A member of the Senior Leadership Team, the incumbent will be responsible for delivering operational excellence across administration, campus infrastructure, engineering systems, hospitality, and support services. The role demands strategic leadership, financial acumen, and a demonstrated ability to manage complex, multi-disciplinary operations while driving continuous improvement, cost optimisation, and institutional excellence.

Brief Responsibilities

This is a residential role with on-campus family accommodation provided for the incumbent. As a residential leader, the role carries round-the-clock institutional responsibility and executive accountability. Key Responsibilities and Key Result Areas (KRAs):

  • Administrative Leadership: Serve as the primary contact for all non-academic operational issues. Coordinate with staff and senior management to ensure excellent service delivery across all departments.
  • Systems Governance, SoP’s and Digitisation: Review, design, digitise and institutionalise robust systems, SoP’s and MIS reporting across all operational functions and build data driven monitoring frameworks eliminating person-dependency risks.
  • Estate & Accommodation Management: Oversee upkeep of entire estate including school infrastructure, on-campus accommodation for staff and students, ensuring that the facilities are well-maintained and meet the needs of the school community.
  • Ambiance and Atmosphere: Ensure a sophisticated ambiance across the campus, with attention to detail in both interiors and exteriors, maintaining high standards of aesthetics and creating a polished, upscale atmosphere.
  • Housekeeping, Laundry & Hygiene: Oversee housekeeping, laundry and sanitation services, maintaining high standards of cleanliness and hygiene throughout the school’s campus.
  • Campus Security & Safety: Lead all campus security operations to ensure a safe, secure and well managed environment for students, staff and visitors. Implement robust security protocols, personnel and systems and ensure preparedness for emergencies and crisis situation.
  • Crisis Management & Emergency Response: Prepare and implement crisis management plans, run regular mock drills, and ensure effective media interaction during emergencies. Coordinate response teams to manage any emergency situations promptly.
  • School Transport & Fleet Management: Oversee all aspects of school’s transport operations including fleet management, preventive maintenance, route planning and regulatory compliance ensuring reliable and efficient student transportation. Maintain the fleet to the highest standards recognising it as a visible extension of the school’s brand.
  • Food Services & Nutrition: Oversee catering operations to ensure the provision of safe, nutritious and high quality meals for students and staff. Enforce stringent food safety, hygiene and sanitation standards ensuring compliance with all health regulations.
  • Facility & Infrastructure Management: Oversee preventive and predictive maintenance and ensure reliable functioning of all civil, electrical, mechanical, HVAC, water, sewage, utility, kitchen infrastructure and other engineering systems, while maintaining optimal lifecycle performance of campus assets.
  • Upgrades, Retrofits and Renovations: Conceptualise, plan and project manage the replacement of ageing engineering infrastructure, campus renovations, retrofits, civil upgrade, interior enhancements, and infrastructure expansion projects aligned with the long-term campus master plan.
  • Sustainability, Energy & Resource Management: Lead sustainability initiatives across energy, water and waste management, optimise utilisation of renewable energy assets, and establish measurable environmental performance indicators and accountability frameworks.
  • Event Management: In collaboration with the academic teams, lead the planning, coordination, and execution of school events, ensuring smooth operations and enhancing community engagement.
  • Medical & Healthcare Services: Oversee medical care, ensuring emergency care protocols and healthcare services are in place for students and staff.
  • Travel & Logistics: Negotiate with vendors and manage travel arrangements for students and staff for trips, expeditions, and workshops.
  • Budgeting, Cost Optimisation & Financial Management: Lead budgeting, forecasting and financial planning for all non-academic operational functions, drive sustainable cost optimisation initiatives, evaluate capital and operating expenditures, strengthen financial controls, and serve as an authorised co-signatory for payments.
  • Procurements & Stores Management: Oversee procurement, inventory and stores management, ensuring value-driven sourcing, vendor performance management, contract compliance, and uninterrupted availability of materials and supplies.
  • Commercial Contracts & Negotiations: Negotiate and manage commercial contracts, service agreements and annual maintenance arrangements, ensuring favourable commercial terms, service standards, and risk mitigation.
  • Staff & Welfare: Oversee recruitment, welfare, discipline, and professional development of administrative and support staff. Implement performance management and organise training workshops.
  • Local Community Relations: Build and sustain strong, mutually beneficial relationships with local communities and leaders across neighbouring villages, fostering goodwill, trust, and collaboration.
  • Parental Relations and Stakeholder Management: Cultivate positive and productive relationships with parents. Effectively manage parent expectations and handle sensitive conversations with professionalism and empathy, ensuring timely resolution of concerns.
  • Government & Administrative Liaison: Develop and maintain strong relationships with civil administration, law enforcement agencies, and civik authorities. Serve as the primary liaison for government and regulatory affairs, representing the school in dealing with external agencies, public officials and statutory bodies.
  • Committee Leadership: Serve as a member and chair of various school committees, including the Child Safety Committee, ensuring that key initiatives and policies are upheld.
  • Statutory & Legal Compliance: Handle legal matters and ensure all school operations comply with statutory regulations, including maintaining important records and documents and securing timely renewals.
