Job summary

Intellectual Capital HR Consulting Pvt. Ltd. seeks a senior fund operations specialist to oversee fund administration, expense accounting, and regulatory compliance for mutual funds.

You will coordinate with internal teams and external custodians to ensure accurate NAV calculations, timely filings, and robust controls. The role requires deep knowledge of fund accounting, valuation, and expense management, with a track record of delivering process improvements and effective stakeholder management

Qualifications

• CA/MBA or equivalent qualification.
• Approximately 10 years of relevant experience.
• At least 5 years of experience managing mutual fund schemes (directly or via vendors).
• Strong knowledge of fund operations including valuation, accounting, and payment processes.

Responsibilities

• Oversee daily fund administration activities including NAV calculations, unit reconciliations, and performance reporting.
• Manage accounting and reporting of fund expenses including management fees, administrative expenses, and other related costs.
• Ensure compliance with applicable regulatory requirements related to fund administration and expense accounting.
• Maintain strong reconciliation controls and ensure data accuracy across custodians and banking channels.
• Support and manage annual audits and other audits related to fund schemes; prepare regulatory filings and periodic financial statements.
• Drive process improvements in fund administration and expense accounting; coordinate with custodians, auditors, and vendors for timely reporting.
• Coordinate with internal teams (Operations, Investments, Sales, Compliance, Risk) and external stakeholders for insights on fund expense trends.

Role Purpose:

The role is responsible for overseeing fund administration and mutual fund expense management. This includes managing fund expenses, ensuring compliance with regulatory requirements, and optimizing fund administration processes. The role involves close coordination with internal teams and external service providers to ensure accurate and timely accounting and reporting.

Key Responsibilities:

Fund Administration:

• Oversee daily fund administration activities including NAV calculations, unit reconciliations, and performance reporting.
• Ensure accurate and timely processing of fund transactions and maintenance of records.

Expense Accounting:

• Manage accounting and reporting of fund expenses including management fees, administrative expenses, and other related costs.
• Ensure accurate allocation of expenses across funds and adherence to budget guidelines.

Regulatory Compliance:

• Ensure compliance with applicable regulatory requirements related to fund administration and expense accounting.
• Implement new regulations and guidelines issued by regulatory authorities from time to time.

Operations & Controls:

• Ensure timely submission of NAVs and regulatory reports.
• Monitor valuation and risk-related guidelines on an ongoing basis.
• Maintain strong reconciliation controls and ensure data accuracy across custodians and banking channels.
• Coordinate effectively with custodians and ensure smooth custody operations.

Audit & Reporting:

• Support and manage annual audits and other audits related to fund schemes.
• Prepare and submit regulatory filings and reports in a timely manner.Prepare periodic financial statements including expense ratios and key metrics.
• Collaborate with auditors to ensure accurate and compliant reporting.

Process Improvement:

• Identify and implement process improvements in fund administration and expense accounting.
• Drive operational efficiency and minimize errors through best practices.

Stakeholder Management:

• Coordinate with internal teams such as Operations, Investments, Sales, Compliance, and Risk.
• Liaise with external stakeholders including custodians, auditors, banks, and vendors.
• Provide insights to senior management on fund expense trends and performance.

Candidate Profile:

CA / MBA / equivalent qualification

Experience:

• Approximately 10 years of relevant experience
