Account Payable Support (Concur)

Summary of Position:

The role is critical to ensuring the smooth functioning of the Travel & Expense (T&E) processes across the organization. The incumbent will be responsible for administering the Concur system, ensuring accurate updates and compliance, supporting reporting requirements, and providing end-to-end administration support for T&E activities. The role demands a detail-oriented professional with prior experience in system administration, finance operations, or T&E process management, who can act as a bridge between global stakeholders and the India team.

Key Responsibilities and Accountabilities:

  • Administer and maintain the Concur T&E system, ensuring its availability, accuracy, and compliance with organizational policies.
  • Monitor system updates, apply configuration changes where needed, and ensure smooth integration with related finance systems.
  • Ensure all employee-related information (salary band, joiner/leaver updates, policy changes) is updated in the Concur system on a timely basis.
  • Supporting the existing Account Payable team in day-to-day activities.
  • Coordinate with HR and finance teams to validate and maintain accurate employee data.
  • Generate, review, and distribute periodic T&E reports to ensure compliance, highlight anomalies, and provide management insights.
  • Work closely with finance teams to track expense trends and escalate issues when exceptions or policy breaches occur.
  • Manage system access rights with specific focus on joiners, leavers, and salary-plus employees.
  • Ensure data confidentiality and compliance with company policies when handling employee-sensitive information.
  • Provide day-to-day administrative support for the T&E process, addressing employee queries and resolving system-related issues.
  • Collaborate with UK and India teams to standardize processes, improve efficiency, and enhance user experience on Concur.
  • Support audits and compliance reviews by preparing necessary documentation and responding to queries.
  • Strong knowledge of Concur T&E system or similar expense management platforms.
  • Experience in system administration, reporting, and data accuracy management.
  • Understanding of travel and expense policies, finance operations, and audit/compliance requirements.
  • Proficiency in MS Excel and reporting tools for data analysis and reconciliation.
  • Ability to manage sensitive employee data with discretion and confidentiality.
  • Strong problem-solving and analytical skills with a keen eye for detail.
  • Excellent communication and stakeholder management skills (experience in UK/global context preferred).
  • Proactive and adaptable, with the ability to manage multiple priorities in a fast-paced environment.
  • Strong collaboration and teamwork mindset to work effectively with cross-functional teams.
  • High integrity, accountability, and ability to work independently.

Qualifications and Experience:

  • Graduate/Postgraduate degree in Business Administration, Commerce, Finance, or related field.
  • 5–8 years of relevant experience in system administration, finance operations, or travel & expense management.
  • Strong knowledge of Concur or equivalent expense management systems (Oracle, SAP, Workday, etc.).
