What this job involves:

  • Prioritising the facilities needs
  • Overseeing the property’s day-to-day operations with the facilities manager and assistant facilities manager
  • Ensuring all administrative functions and facility services are covered
  • Striving for continuous process improvement

Responsibilities include managing shift registers for housekeeping, shift rosters for HK/Pantry/Office boys, client satisfaction, and closure of helpdesk complaints. You will also monitor property supplies, manage stock levels, and oversee supply and service contracts approved by clients.

  • Conducting daily meetings with floor admins
  • Meeting end users, line managers, and directors for feedback
  • Performing bi-daily facility rounds
  • Maintaining stock related to HK and pantry consumables
  • Following up on weekly movements and updating SPOC
  • Arranging daily town halls and client visits
  • Sending timely daily, weekly, and monthly reports
  • Coordinating with scrap vendors for timely removal
  • Preparing daily manpower reports
  • Tracking biometric and check tool updates
  • Collaborating with tech executives to resolve site-specific issues

You will participate in emergency evacuation procedures, crisis management, and business continuity planning, while actively addressing health and safety issues.

Client satisfaction is paramount. You will handle difficult issues, seek operational improvements, and ensure team performance aligns with KPIs and SLAs. Routine service audits, stock reports, meeting minutes, and monthly management reports are part of your responsibilities.
