• Bachelor's degree in Business Administration, Management, Commerce, or a related field.
• 2–4 years of experience in executive assistance, administrative support, office management, or a similar role supporting senior leadership.
• Proven experience managing executive calendars, travel arrangements, stakeholder communications, meetings, and administrative operations.
• Strong proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.

Responsabilidades

• Manage the Vice President’s calendar, scheduling priorities, travel plans, meetings, and appointments to ensure optimal time management and operational effectiveness.
• Coordinate domestic and international travel arrangements, including itineraries, accommodations, visa requirements, and logistics to support business objectives.
• Prepare and manage executive correspondence, reports, presentations, and documentation with a high level of accuracy, professionalism, and confidentiality.
• Organize and coordinate internal and external meetings, leadership reviews, business events, workshops, and team engagement activities.
• Serve as a key point of contact for internal and external stakeholders, ensuring effective communication and timely follow-up on critical matters.
• Prepare meeting agendas, capture meeting minutes, track action items, and drive timely closure of commitments and deliverables.
• Support budget monitoring, expense management, invoice tracking, and administrative processes in accordance with company policies and procedures.
• Maintain organized records, documentation, and filing systems while ensuring compliance with governance and confidentiality requirements.
• Coordinate cross-functional activities and support project execution by facilitating collaboration across teams and stakeholders.
• Drive process improvements and administrative efficiency by streamlining workflows, procedures, and office management practices.
• Support leadership communications and organizational initiatives while contributing to a positive, collaborative, and high-performing work environment.

As the Executive Assistant to the Vice President, you will play a pivotal role in ensuring the smooth and efficient operation of executive leadership activities within Siemens Energy. You will serve as a trusted partner to the Vice President, managing priorities, coordinating critical business activities, and enabling effective decision-making through exceptional organizational and administrative support.

What You Bring

• Bachelor’s degree in Business Administration, Management, Commerce, or a related field.


• 2–4 years of experience in executive assistance, administrative support, office management, or a similar role supporting senior leadership.


• Proven experience managing executive calendars, travel arrangements, stakeholder communications, meetings, and administrative operations.


• Strong proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams.


• Knowledge of SharePoint, SAP, Workday, Concur, or similar business applications will be considered an advantage.


• Microsoft Office Specialist (MOS) certification or equivalent professional certification is preferred.


• Excellent verbal and written communication skills with the ability to interact professionally with senior leaders, customers, and global stakeholders.


• Strong organizational and multitasking capabilities with exceptional attention to detail and the ability to manage competing priorities effectively.


• High degree of integrity, discretion, and professionalism when handling confidential information.


• Strong problem-solving skills, proactive mindset, and the ability to work independently in a fast-paced environment.


• Demonstrated ability to collaborate effectively within multicultural and global organizations.


• Proficiency in English with strong presentation, documentation, and communication skills.
