The role involves formulating, awarding, administering and closing contracts, negotiating with vendors, drafting agreements, managing claims and cost savings, and developing regional resources in process and knowledge areas.

Qualifications

• Civil Engineer with 10+ years of relevant experience.
• Experience in drafting, negotiating and administering contracts.
• Knowledge of vendor evaluation, RFPs/Tenders and procurement processes.
• Ability to ensure timely contract milestones and cost savings.

Responsibilities

• Scoping of Contract Requirement and development of RFPs/Tenders.
• Shortlisting Contractors/Vendors and conducting reference checks.
• Contract Formulation and standardization of GCC/SCC and related docs.
• Contract Administration including statutory compliance and timely delivery.
• MIS and Reporting on vendor performance and reviews.
• Adherence to defined processes and continuous improvement.
• Internal and External liaison with project teams, vendors and consultants.

Job description

Contracts Manager

1. Basic Purpose of the Position

The incumbent will be based at Head office in contracts and procurement vertical and shall be responsible for formulating Contracts, Award of Contracts, Administer the contracts and Closure of contracts.

This involves negotiating with vendors and suppliers, drafting agreements, contractual correspondences, managing claims and extra works, periodic monitoring of billing & material reconciliations. The incumbent will also be responsible for developing regional resources from Process and Knowledge perspective.

2. Role Responsibilities

Operational

1. Scoping of Contract Requirement

• Reviews requirements placed by other teams (technical/ material/ service) and develops RFP/tenders using available template
• Checks for available vendors from empaneled/ internal list
• Identify and PQ new vendors, Update empaneled list.
• Consolidates and analyze submitted quotations
• Validates and cross checks prices quoted by vendors

2. Shortlisting Contractors/Vendors

• Help regional teams to shortlists vendors basis the quotation rates, reviews and recommendations by HO/ peers
• Conducts reference checks for vendors- profile of the company, quality of the contractors works in the market, visiting site of contractor/vendors
• Recommends to HO for obtaining approvals
• Timelines, Cost saving, Adherence to company policies

3. Contract Formulation

• Drafts agreements / contracts basis base rate,
• Standardize GCC, SCC and other related documents.
• Releases Work order to the vendor in predefined template
• Generates purchase order to vendors
• Ensures contractors provide the documents as required viz. Bank Guarantee/Warranties
• Cost Saving

4. Contract Administration

• Ensures contractors follow statutory regulations as required by law
• Ensures material is delivered as per pre-defined schedule
• On-time delivery by the contractor as per pre-defined

specifications

Responsibility Area

• Acts as an arbitrator between the contractor & project team to resolve Issues related to interpretation of contracts through clarifying the intent of the clause in the contract to both parties
• Maintains regular contact with contractors

• Prepares consolidated rate sheets of items / awards.
• Documents and keeps track of reviews for each vendor/ consultant for future references.
