Assistant Manager - Soft Service

BUSINESS UNIT

Integrated Facilities Management (IFM)

REPORTING TO

Soft Service Manager (directly); Account Manager (on matrix)

NUMBER OF SUBORDINATES

Range between 6 to 8

POSITION GOALS

  • Ensure smooth operation of BES vertical & soft service project management with the support and alignment of Bangalore based SME.
  • Bring operational efficiency and sustainability at site to achieve EE satisfaction as per JLL Standard.
DUTIES AND RESPONSIBILITIES
  • Understand JLL IFM Service contract.
  • Take over the Site, actively call out snags and snag closure.
  • Vendor Management aligning with all supplier to establish and maintain operational stability, compliance score, timely execution of work and cost efficiency and KPI meeting with suppliers.
  • Operational issues on real time basis which requires assistance, guidance and approval.
  • Landlord Management – Aligning with Landlord to resolve issues on timely basis
  • Participate in Emergency Evacuation procedures including crisis management and business continuity.
  • Forecast budget and manage the same within negligible variance.
  • Interacting with JLL Spoc for monthly walkthrough, on demand request etc.
  • Advice the Site Manager on implementing ideas, cost saving etc.
  • Tracking & control – Inventory, expense, invoice.
  • Ensure adherence to policies and procedures applicable to the FM function.
  • Plan, organize and arrange any event for JLL.
  • Ensure compliance of regulations / requirements of JLL management.
  • Provide assistance in general administrative activities as required.
  • Regular meeting with Admins to understand the day to day requirement
  • Any other duties as and when required by the direct Manager/ JLL Spoc.

KEY PERFORMANCE MEASURES
  • Meet the requirements of customer proactively and professionally
  • Respond the client’s work requests on time
  • Achieve financial activities budget management, timely invoice submission, maintain invoice & PO trackers. Forecast budget for next FY & comply with glide path
  • Risk Assessment at site and mitigation plan
  • Stake holder management – Aligning with Client Spoc, admins and BU.
  • People / Team Management – To manage team of JLL at site.
  • Work in partnership with Client spoc and JLL SME team to implement strategies, policies, and services to increase employee satisfaction & reduce organizational and operational Risk.
  • Set team targets & monitors performance
  • Assist and mentor subordinates on standards and best practices
EMPLOYEE SPECIFICATIONS
  • Any Graduate with minimum 5-6 years of experience in facilities Management.
  • English-excellent written and oral communication skills – Mandatory
  • Knowledge of Local language – Advantage
  • Knowledge & Proficiency on: Soft Services knowledge
  • Good Administrative skills
  • People Management
  • Technical knowledge – Advantage
  • Experience in direct management of 2-4 employees – Advantage
