Job description

ROLE OVERVIEW

The Asset Lifecycle Analyst III is the senior subject‑matter expert for the end‑to‑end lifecycle of the client's physical and digital IT assets — from part‑number creation and assignment through moves, reassignments and retirement. The role owns the accuracy and integrity of asset and master‑data records so that asset, procurement and finance systems stay reconciled, and it keeps the downstream receiving, deployment and invoicing work Astreya performs running on clean, trustworthy data. Errors in asset records ripple straight into fulfilment, three‑way matching and financial reporting, so this is a high‑trust, high‑accuracy remit. As a Level III role, the analyst operates with a high degree of autonomy and acts as the asset‑data escalation point for procurement, catalogue, supplier‑management and finance teams. The role reports to the Procurement & Asset Team Lead and partners closely with Supplier & Vendor Management, the Catalogue function and the SAM team. As the incumbent, Astreya can build on established asset records, part‑number conventions and system configurations to drive data quality, cycle‑time and cost outcomes.

KEY RESPONSIBILITIES
  • 1. Global Asset Lifecycle Operations Manage the asset lifecycle end to end — creating part numbers, assigning assets and keeping records updated through moves, reassignments and retirements. Coordinate manufacturer part number (MPN) and asset reassignments in the database backend to transfer assets cleanly from source MIDs to target MIDs. Perform bulk data updates (including MAC addresses, serial numbers, locations and project codes) to maintain hardware master‑data integrity within the database. Manage Return Merchandise Authorization (RMA) workflows with suppliers to resolve damaged or incorrect deliveries and keep asset records accurate.
  • 2. Asset Master‑Data Integrity Maintain accurate asset and master‑data records so that asset, procurement and finance systems stay reconciled at all times. Coordinate part‑number creation, submit trade‑classification requests (HTS/ECCN) and secure customs valuations to keep assets transaction‑ and shipment‑ready. Coordinate regional catalog rollouts and Base‑and‑Variant MID hierarchies so new and variant assets are enabled correctly across regions. Run periodic reconciliation and data‑quality checks, resolving discrepancies and removing duplicate or stale asset records.
  • 3. Asset Administration & Cost Reallocation Administer entries in the asset administration system — creating, editing and activating or deactivating offerings — so the available asset catalog stays current and correct. Validate prepayment terms against threshold criteria and coordinate internal cost‑reallocation (chargeback) ledgers. Process inter‑departmental chargeback requests by validating mandatory corporate fields (requester, cost centers, location, task numbers), entering verified data into reallocation templates and coordinating with invoicing teams. Support New Product Introduction (NPI) by creating the system IDs needed to transact and track new assets.
  • 4. Governance, Reporting & Continuous Improvement Act as the asset‑data escalation point and design authority for asset lifecycle SOPs, tolerances and approval thresholds. Maintain audit‑ready documentation of asset changes, reassignments, classifications and chargebacks. Identify and drive automation and process improvements across asset lifecycle, bulk‑update and reconciliation workflows. Coach junior analysts on asset‑data methodology, data quality and system procedures.
PERFORMANCE & SERVICE LEVELS

Indicative performance targets for the role; final service levels are confirmed on engagement and measured by location per service line.
Asset Data Accuracy: maintain ≥99% accuracy across reviewed asset and master‑data records, since asset data drives fulfilment, matching and financial reporting.
Reconciliation Timeliness: complete periodic asset‑to‑finance reconciliation cycles on schedule for 100% of in‑scope records.
Lifecycle Turnaround: process asset creations, reassignments and retirements within the agreed SLA for ≥95% of requests.
Discrepancy Resolution: resolve escalated asset‑data and three‑way‑match holds within the priority‑based target window for ≥95% of cases.
Chargeback Accuracy: process inter‑departmental chargebacks with 100% of mandatory fields validated and correctly reallocated.
Customer Satisfaction (CSAT): sustain a CSAT score of ≥95% (≥4.0–4.5 on a 5‑point scale) across surveyed interactions, reflecting accuracy, responsiveness and professionalism.
Ticket Quality: ensure ≥95–97% of completed requests pass quality‑assurance checks, with complete documentation, correct categorization and full adherence to the approved SOP.

TOOLS & SYSTEMS
  • ERP & Procurement Systems: SAP (Materials Management, Procure‑to‑Pay and master‑data uploading consoles) alongside corporate guided buying platforms
  • Asset & Product Systems: asset administration consoles, database backends and Product Lifecycle Management (PLM) tools
  • Data Management Tools: bulk data loaders, master‑data validation utilities and collaborative spreadsheet logs
  • Ticketing & Collaboration Tools: advanced ITSM issue‑tracking platforms
REQUIRED SKILLS & EXPERIENCE
  • Mandatory 5–8+ years of experience in IT asset management, master‑data management or procurement operations, with demonstrated seniority.
  • Advanced asset and master‑data management, including part‑number creation, MID/MPN reassignments and bulk uploads with data‑integrity controls.
  • Hands‑on experience keeping asset, procurement and finance systems reconciled, and resolving downstream matching/fulfilment issues.
  • Sound attention to detail and process discipline, with the ability to sustain ≥99% data accuracy at volume.
  • Strong English communication and stakeholder management, including with procurement, finance and supplier teams.
  • Preferred Experience with SAP Materials Management, asset administration systems and master‑data upload consoles.
  • Exposure to trade classification (HTS/ECCN), customs valuation and part‑compliance processes.
  • Familiarity with NPI, Base‑and‑Variant MID hierarchies, RMA workflows and chargeback/cost‑reallocation mechanics.
  • Experience coaching or leading junior analysts and owning asset lifecycle SOPs and governance.
LEVELS & PROGRESSION (I – III)

LEVEL I — performs asset data entry, bulk updates and record maintenance under SOP and close supervision.
LEVEL II — owns day‑to‑day lifecycle operations, reassignments and reconciliation with limited supervision, and resolves data discrepancies.
LEVEL III (this role) — is the asset‑data SME and line lead — owning data‑quality standards, reconciliation, classification and chargeback governance, escalations, continuous improvement and coaching of junior analysts.
