Overview

Apprentice Soft Services / Facilities Executive with Account Management – Work Dynamics responsibilities. Prioritising the facilities’ needs and overseeing the property’s day-to-day operations, ensuring that all administrative functions, security issues and facility services are covered, with a focus on continuous improvement.

Responsibilities
  • Collaborate with the facilities manager and the assistant facilities manager to oversee day-to-day operations and ensure administrative functions, security issues and facility services are covered.
  • Strive for continuous improvement in processes related to facilities management.
  • Monitor the property’s supplies and ensure adequate stocks and materials to keep operations smooth; manage supply and service contracts as approved by clients.
  • Mitigate risks by participating in emergency evacuation procedures and handling crisis management and business continuity plans.
  • Monitor health and safety issues, actively participate in reviewing them, and ensure compliance.
  • Oversee the property’s budget and ensure sufficient petty cash to support operations; ensure vendor invoice processes comply with standards.
  • Conduct routine service audits to ensure the team maintains overall performance.
  • Create stock reports, meeting minutes and monthly management reports for clients.
  • Maintain a focus on client satisfaction, address difficult issues, and seek opportunities to improve operations; stay in tune with the team to achieve key performance metrics and meet service level agreements.
Qualifications and Skills
  • Strong knowledge of property operations.
  • Degree in business or hotel and building management; at least three to five years’ experience in facilities management.
  • Demonstrated good working knowledge of occupational safety and aptitude in client-centric operations.
  • Solid background in team management; leadership capabilities and experience rolling out improvement plans, with excellent communications and reporting skills.
