Role Overview

We are looking for a proactive and hands-on Admin Executive to manage day-to-day office administration, workplace operations, facilities, and company assets. The role will involve handling IT assets such as laptops and smartphones, basic device setup and troubleshooting, biometric and attendance management, along with general administrative responsibilities to ensure smooth office operations.

Key Responsibilities

• 1. Office Administration Manage day-to-day office administration and ensure smooth workplace operations. Coordinate housekeeping, security, maintenance, pantry, and other facility services. Manage stationery, office supplies, pantry requirements, and general inventory. Handle courier, visitor management, travel bookings, and employee transportation. Support employee engagement activities, celebrations, and office events. Coordinate office seating, workspace requirements, and day-to-day employee needs.
• 2. Asset & Inventory Management Manage company assets including laptops, smartphones, chargers, cables, and other peripherals. Maintain accurate records of asset allocation, handover, transfer, and recovery. Ensure timely asset provisioning during employee onboarding and recovery during offboarding. Track asset condition, repairs, replacements, and maintenance. Maintain office and equipment inventory records.
• 3. Biometric & Attendance Management Manage and maintain the biometric attendance system for employees. Monitor daily attendance, check-ins, check-outs, late marks, and regularization requests. Coordinate with HR and employees regarding attendance-related queries and discrepancies. Maintain accurate attendance records and prepare periodic attendance reports. Support employee onboarding and offboarding by managing biometric access and attendance setup. Coordinate with the biometric system/service provider for technical issues and updates.
• 4. Basic Device Support Support employees with basic laptop and smartphone setup. Handle Windows/macOS OS installation and basic configuration. Provide first-level troubleshooting for common laptop, printer, Wi-Fi, and connectivity issues. Coordinate with external service providers for repairs and technical issues. Assist with meeting room, display, and video conferencing setup.
• 5. Vendor & Procurement Management Coordinate with vendors for office maintenance, equipment, repairs, and services. Support procurement of office supplies, equipment, laptops, smartphones, and other requirements. Maintain vendor records and service documentation. Track AMC, repair, maintenance, and service requirements. Ensure timely follow-up with vendors and service providers.
• 6. General Administration Maintain office records, documents, and administrative trackers. Support management with day-to-day administrative requirements. Ensure office facilities and common areas are well maintained. Identify operational requirements and proactively coordinate for timely resolution. Support other administrative activities as required.

Requirements

Any Graduation. 1–5 years of experience in Administration, Facilities, Workplace Operations, or a similar role. Experience in office administration, asset management, biometric/attendance management, vendor coordination, and procurement. Basic hands-on knowledge of laptops, smartphones, OS installation, and troubleshooting. Good communication, coordination, and organizational skills. Ability to manage multiple responsibilities in a fast-paced startup environment. Experience Level Mid Level
