Administrative Assistant to the Superintendent and District Office Coordinator
Reports To: Superintendent Work Year: 260 Days Position Status: Part-Time Classification: Non-Certified / Support Staff
Position Purpose
The Administrative Assistant to the Superintendent and District Office Coordinator provides administrative and organizational support to the Superintendent and assists with the daily operations of the District Office. This position also provides support for School Board operations, human resources, business office functions, district communications, and other district-level responsibilities.
The individual in this position must demonstrate professionalism, strong organizational and communication skills, attention to detail, and the ability to maintain confidentiality while working with employees, families, Board members, and community members.
Essential Duties and Responsibilities
- Provide direct administrative support to the Superintendent.
- Manage the Superintendent's calendar, appointments, meetings, correspondence, and scheduling.
- Serve as a primary point of contact for the Superintendent's Office and assist staff, parents, community members, and visitors.
- Prepare correspondence, reports, presentations, and other materials as requested.
- Coordinate district-level meetings, events, and special projects.
- Maintain organized and confidential district records and documentation.
School Board Support
- Coordinate the preparation and distribution of School Board meeting agendas and supporting materials.
- Work with the Superintendent and administrative team to collect agenda items and necessary documentation.
- Attend School Board meetings and prepare accurate meeting minutes.
- Maintain official Board minutes, resolutions, policies, and related records.
- Assist with public notices, meeting schedules, and required Board documentation.
- Coordinate signatures and distribution of approved Board documents.
Human Resources Support
- Assist with employee onboarding, new-hire paperwork, and employment documentation.
- Maintain personnel files and confidential employee records.
- Assist with background checks, licensure documentation, contracts, and personnel recommendations.
- Track required employee documentation and follow up regarding missing or updated information.
- Assist with job postings, applications, interview scheduling, and applicant communication.
- Provide administrative support for employee benefits and other human resources processes as assigned.
- Maintain strict confidentiality regarding all personnel matters.
Treasurer & Business Office Support
- Provide administrative support to the District Treasurer.
- Assist with purchase orders, invoices, claims, receipts, deposits, and financial documentation as assigned.
- Assist with preparation of claims and financial materials for School Board meetings.
- Maintain organized business office records and documentation.
- Assist with payroll, benefits, vendor records, and other business office functions as trained and assigned.
- Provide cross-training and backup support for essential business office functions as appropriate.
Communications & Marketing
- Assist the Superintendent with district communications, marketing, and community engagement.
- Prepare and distribute district newsletters, announcements, press releases, and other communications as assigned.
- Maintain and update district website content.
- Assist with district social media and the promotion of student, staff, school, and district accomplishments.
- Gather stories, photographs, and information from schools and departments for district publications.
- Assist with community newsletters, brochures, flyers, and promotional materials.
- Help maintain consistent district branding and messaging.
- Support district special events, community outreach, and recognition activities.
General District Office Responsibilities
- Answer and route telephone calls and district-level inquiries.
- Maintain district calendars and coordinate meetings and schedules as assigned.
- Order and maintain District Office supplies.
- Assist with records requests and document retrieval as directed.
- Provide courteous and professional assistance to employees, families, Board members, community members, and visitors.
- Serve as a collaborative member of the District Office team and provide cross-training and backup support for essential office functions.
- Perform other duties as assigned by the Superintendent.
Qualifications
- High school diploma or equivalent required; additional education or administrative training preferred.
- Previous administrative, clerical, school, governmental, or business office experience preferred.
- Strong organizational, written, verbal, and interpersonal communication skills.
- Proficiency with common office technology, including email, word processing, spreadsheets, calendars, and electronic recordkeeping systems.
- Ability to organize multiple responsibilities, meet deadlines, and work independently.
- Ability to maintain accurate records and demonstrate strong attention to detail.
- Ability to work effectively with employees, families, Board members, community members, and the public.
- Demonstrated ability to handle confidential and sensitive information appropriately.
- Willingness and ability to learn district procedures related to School Board operations, human resources, and business office functions.
Terms of Employment
This is a part-time, 260-day position. Daily and weekly work hours will be established by the Superintendent based on the operational needs of the District Office. Attendance at School Board meetings and occasional district events outside of regularly scheduled work hours may be required.
Compensation and benefits
Compensation and benefits will be established by the Board of School Trustees in accordance with the district's applicable support staff compensation and benefit practices.
Evaluation
Performance will be evaluated by the Superintendent in accordance with district procedures and expectations for support staff.
