A multinational engineering company in Mumbai is seeking a Senior Officer - Administration to ensure the smooth functioning of administrative operations. The role involves overseeing administrative functions, managing facility operations, and coordinating logistics. The ideal candidate should have extensive experience in administration, excellent organizational skills, and be ready to thrive in a dynamic work environment.
Role & responsibilities
Responsibilities:
1. Administrative Support:
- Oversee all aspects of the company's administrative functions and ensure compliance with internal policies and procedures.
- Coordinate and manage administrative staff, ensuring effective allocation of resources.
- Develop and implement administrative systems, processes, and tools to optimize productivity and efficiency.
- Act as a primary point of contact for internal and external stakeholders regarding administrative matters.
2. Facility Management:
- Supervise the day-to-day operations of the office premises, including maintenance, security, and general upkeep.
- Manage vendor relationships and negotiate contracts to ensure cost-effective facility services.
- Coordinate office expansion or relocation projects as required.
3. Asset Management:
- Oversee the procurement, distribution, and inventory control of office equipment, furniture, and supplies.
- Develop and implement asset management processes to track and maintain assets at optimum levels.
- Ensure proper disposal of obsolete assets in compliance with company policies.
4. Travel and Logistics:
- Coordinate travel arrangements for employees, including flights, accommodation, and visa processing.
- Manage company vehicles, including maintenance schedules, registration, and insurance.
- Develop and enforce travel and logistics policies to optimize cost-effectiveness.
5. Record-keeping and Documentation:
- Maintain accurate and up-to-date records of administrative activities, including expenses, invoices, and contracts.
- Prepare reports and presentations summarizing administrative performance and activities.
- Ensure compliance with legal and regulatory requirements regarding document retention.
