Job summary

Clio is seeking a Senior Executive Assistant to partner with our executive leadership across the EMEA region, providing strategic administrative support and seamless coordination across time zones.

You will manage complex calendars, travel, and communications while upholding confidentiality and representing Clio's values. The role requires 10+ years of EA experience, exceptional communication, and a proactive, service-oriented mindset.

Qualifications

  • 10+ years of experience as an executive assistant or proven track record providing administrative coordination.
  • Exposure to senior leaders, business strategy and decision-making.
  • High degree of trust and integrity regarding confidentiality.
  • Collaborative, self-starter mindset with a bias to action.
  • Flawless written and verbal communication skills under pressure.
  • Strong interpersonal skills and ability to develop trust.
  • Ability to multi-task and manage time effectively.
  • Impeccable attention to detail and independence with deadlines.
  • Proficiency in Mac operating environments, Google Suite, Slack, Asana, and Coupa.
  • Spanish speaking proficiency is a plus.

Responsibilities

  • Contribute to planning, organization, and execution of high-profile international events and initiatives.
  • Oversee and manage calendars, travel, and time zones for the Senior Leadership Team across regions.
  • Coordinate team events and community-building activities.
  • Manage meetings, agendas, notes, and action items for SLT.
  • Review and respond to emails on behalf of the SLT.
  • Organize and reconcile professional finances and expenses.
  • Coordinate communications with external partners, vendors, and clients.
  • Create and maintain internal documentation and knowledge resources.

We are currently seeking a Senior Executive Assistant to work closely with our executive team in the EMEA region, providing administrative and operational support for the business. The role is for an entrepreneurial individual with a customer‑service mindset and exceptional administrative, coordination and communication skills.

Responsibilities
  • Contribute to the planning, organization, and execution of special projects – high‑profile international events and key organizational initiatives.
  • Oversee and manage schedules, appointments, and travel arrangements for the Senior Leadership Team across multiple time zones and countries.
  • Coordinate team events, support community‑building, and handle logistical tasks as requested.
  • Manage group‑wide meetings and agendas, take notes, and track action items for the Senior Leadership Team.
  • Review, route, and respond to incoming e‑mail correspondence and organizational requests on behalf of the Senior Leadership Team.
  • Organize, track and reconcile professional finances and expenses.
  • Coordinate communications and liaise directly with external partners, vendors, and clients.
  • Create and maintain internal documentation, knowledge management, and communications for the Executive Assistant team.
  • Maintain a high degree of trust and integrity regarding confidentiality.
  • Act as an exemplar of Clio’s values and culture, serving as an ambassador for the Senior Leadership Team both internally and externally.
Qualifications
  • 10+ years of experience as an executive assistant or a proven track record of success providing administrative coordination in a professional setting.
  • Exposure to senior leaders, business strategy and decision‑making.
  • High degree of trust and integrity regarding confidentiality.
  • Collaborative, self‑starter mindset with a bias to action.
  • Flawless written and verbal communication skills, even under pressure.
  • Strong interpersonal skills and capacity to develop high levels of trust.
  • Ability to multi‑task and possess excellent time‑management skills.
  • Impeccable attention to detail.
  • Resourceful and able to work independently with a deadline‑oriented mindset.
  • Proficiency in Mac operating environments, Google Suite, Slack, Asana, and Coupa.
  • Comfort with new technologies and tools.
  • High level of professionalism, emotional intelligence and trust.
  • Spanish speaking proficiency an asset.
Compensation & Benefits
  • Competitive, equitable salary with top‑tier health and dental coverage.
  • Expected salary range for this role is €69,400 to €81,700 to €94,000 EUR; separate bands for other regions based on local currency.
  • Hybrid work environment; local Clions expected to be in office minimum twice per week.
