Job Description:

This role involves managing the Apleona vendor database, including onboarding new suppliers and maintaining existing ones. Responsibilities include administrative procurement duties such as issuing Requests for Proposals and Tenders, managing Price Quotations, Service Level Agreements, and Supplier Agreements.

Main duties and responsibilities:
  • Engage with new suppliers and contractors, completing checks to establish approved vendors.
  • Manage existing vendor records, ensuring compliance with Health and Safety, Insurance, and Financial checks.
  • Retain purchase and quotation records for auditing, following company procedures.
  • Procure in accordance with organizational processes using the purchasing system.
  • Operate the quotation process for on-demand purchasing.
  • Assist in preparing and issuing Tenders and RFPs as needed.
  • Report non-compliance issues to the Procurement Manager.
  • Maintain procurement catalogues and handle internal queries.
  • Ensure value for money in contracts while minimizing risks.
  • Collaborate with internal and external stakeholders.
Qualifications and Experience:
  • 1-2 years experience in a Facility Management environment or equivalent.
  • Diploma or equivalent qualification.
  • Ability to meet customer requirements consistently.
  • Professional communication with customers and vendors.
  • Excellent oral and written communication skills.
  • Strong analytical and numeracy skills.
  • Proficiency in Microsoft Excel, PowerPoint, and Word.
  • Commitment to organizational goals.
Working Pattern:

Monday to Friday, 8:30 AM to 4:30 PM.
