Position Title: PA/Legal Secretary - Corporate

Key Responsibilities

Responsibilities for this role include

Partner and team support

  • Act as the primary administrative support contact for two partners and four associates, ensuring they remain well-prepared.
  • Anticipate needs and manage busy diaries; schedule meetings across time zones; prepare partners for client engagements.
  • Act as a professional first point of contact for clients—handling calls, inboxes, and correspondence with discretion and a client-focused approach.

Matter and Document Management

  • Produce and format legal documents and correspondence in house style within tight deadlines.
  • Manage electronic and hard‑copy filing; oversee matter opening and post‑closing processes.
  • Draft correspondence to clients and co-ordinate signature/return of documents.
  • Assist with creating step plans, graphics and structure charts using Jigsaw and other software tools (training available).

Meetings, Events and Business Development

  • Coordinate client and internal meetings; circulate agendas and materials; capture actions and follow-through.
  • Liaising with team and Marketing function to prepare client pitch and tender documents.
  • Plan and book travel for team members; prepare briefing packs for partners in advance of business development trips.

Billing and Financial Support

  • Assist with billing cycle from end to end: draft clear narratives from WIP (Aderant Expert), calculate figures, process approved invoices and support WIP and debtor management efforts.
  • Other secretarial and ad hoc projects as required.

Experience, Knowledge & Skills

The successful candidate will have:

  • A minimum of 3 year’s relevant experience, ideally in a legal or professional services environment
  • Billing experience is a distinct advantage
  • Strong MS Office skills; 65+ wpm accurate typing
  • A collaborative mindset and enthusiasm for in-person teamwork; this is an office-based role
  • Familiarity with Aderant Expert (or similar)
  • Outstanding organisation and prioritisation skills; calm under pressure; ability to juggle multiple deadlines
  • Impeccable attention to detail and accuracy
  • Sound judgment, discretion and strong interpersonal skills
