You will work across People Operations, payroll, finance administration, travel, events, and internal systems.
The role combines day-to-day execution with continuous process improvement, ensuring information, documentation, payments, and logistics are accurate and timely.
You will become a key operational point of contact for employees, contractors, vendors, and internal stakeholders across multiple functions.
Your work will directly support an efficient employee experience while helping the organization build scalable operational foundations.
You will have significant ownership and autonomy, with opportunities to introduce automation and eliminate unnecessary manual processes.
This is an excellent opportunity for an organized, proactive professional who thrives in a dynamic, remote-first, and internationally distributed environment.

Accountabilities
  • Own end-to-end employee lifecycle operations, covering contracts, onboarding, role changes, payroll updates, documentation, and offboarding.

  • Prepare and manage offer letters, employment contracts, addendums, and other employee documentation, ensuring accuracy and timely completion.

  • Coordinate monthly payroll processes, contractor invoices, employee expenses, and relevant approvals to ensure payments are accurate and delivered on schedule.

  • Manage business travel arrangements, including accommodation, transportation, itineraries, bookings, and employee travel-related requests.

  • Plan and coordinate company events, offsites, venues, suppliers, and on-the-ground logistics.

  • Maintain accurate and up-to-date records covering employee information, leave, sick days, travel bookings, expenses, contracts, and operational documentation.

  • Serve as a key point of contact for HR and operational questions, resolving issues efficiently and escalating matters when appropriate.

  • Manage statements of work, change orders, signatures, and related documentation, ensuring records are complete and properly maintained.

  • Identify opportunities to improve operational workflows, documentation, and internal processes as the organization scales.

  • Build and maintain workflow automations that reduce manual administration, data entry, duplication, and errors.

  • Collaborate with internal stakeholders and external vendors to ensure operational activities remain coordinated, efficient, and reliable.

Requirements
  • 3+ years of experience in People Operations, HR Operations, Business Operations, Finance Operations, or a comparable role.

  • Strong experience managing employee lifecycle processes, contracts, documentation, HR administration, and related operational workflows.

  • Hands-on experience with payroll coordination, contractor payments, expense management, and financial administration.

  • Exceptional organizational skills and attention to detail, with a strong commitment to accuracy and timely execution.

  • Experience coordinating travel, events, offsites, vendors, and broader company logistics.

  • Ability to handle confidential employee, payroll, and financial information with professionalism and discretion.

  • Strong ownership mindset, with the ability to independently manage multiple priorities, deadlines, and stakeholders.

  • Excellent communication skills and confidence working with employees, contractors, vendors, and internal teams.

  • Process-oriented and proactive, with a demonstrated ability to identify inefficiencies and implement practical improvements.

  • Comfortable working with HRIS, payroll, expense management, e-signature, and other business administration platforms.

  • Experience using automation and workflow tools to reduce manual processes and improve operational accuracy.

  • Comfortable working in a fast-paced, growing, and internationally distributed environment.

  • Experience in a startup, scale-up, agency, or remote-first organization is a plus.

  • Experience supporting operations across multiple countries or regions is advantageous.

  • Basic understanding of employment compliance and payroll requirements across different markets is desirable.

  • Strong adaptability, problem-solving skills, and the ability to operate effectively with a high degree of autonomy.

Benefits
  • Fully remote, remote-first working environment within Europe.

  • Opportunity to work with an internationally distributed team across Europe, the US, and other regions.

  • High level of ownership and autonomy over operational processes.

  • Fast-paced environment offering significant opportunities for learning and professional growth.

  • Meaningful involvement in building scalable People and business operations.

  • Opportunities to improve processes through automation and workflow optimization.

  • Supportive and collaborative culture focused on employee development and success.

  • Opportunities for career progression and increased responsibility as the organization grows.
