Role Profile

As office administrator, you will play a critical role in ensuring the smooth and efficient operation of our office in Clonroche Mill. You will be responsible for providing essential administrative support, managing day to day administration tasks and maintaining a productive work environment. The ideal candidate will be a team player, be self-motivated, and possess strong organisational skills, combined with excellent communication skills.

The position is office based, located in Clonroche Feed Mill. The position comprises of a job share model, whereby one full time position is shared equally between 2 persons. As part of the job share model you will be required to work 6 days concurrently out of every ten working days, in line with the job share agreement that is currently in place.

Responsibilities

  • Answer phones and assist with customer/supplier queries.
  • Receive and assist site visitors.
  • Manage emails and direct enquiries to relevant personnel.
  • Sort and file all dispatch dockets, in keeping with current practices.
  • Complete checks on bag dispatches Vs weighbridge summary reports.
  • Complete customer credits for pallets returned.
  • Issue credit to customers as instructed by management.
  • Maintain and organise all office files both physical and digital.
  • Manage purchasing error log report for site.
  • Maintain Inventory of PPE and general office supplies.
  • Raise purchase orders as required or directed by management.
  • Process invoices / framework orders as required.
  • Run and submit weekly production reports.
  • Maintain production planner spreadsheet.
  • Provide administrative support to staff and management.
  • Calculate and upload clock card hours to payroll for processing.
  • Process holidays and other absences on Success Factors.
  • Maintain holiday and sick leave planner spreadsheets.
  • Process employee expenses.
